Position Overview:

ANSER is seeking a Senior Executive Assistant to support government and military senior leadership within the Office of the Undersecretary of Defense for Policy (OUSD(P).  In this highly visible and key role you will provide travel and general executive administrative support for federal senior executive level or military flag or general officer level.

Day to Day Responsibilities:

  • Coordinate and schedule meetings and engagements for senior leadership, ensuring appropriate attendees are invited, logistical requirements are met, and all supporting materials are prepared in advance.
  • Manage and deconflict executive calendars, proactively resolving scheduling conflicts and prioritizing competing demands to ensure efficient time management and mission support.
  • Collect, compile, and assemble daybooks and briefing materials, ensuring accuracy, completeness, and readiness ahead of daily operations and official meetings.
  • Serve as the primary point of contact for scheduling inquiries and requests, facilitating timely communication and coordination with internal and external stakeholders.
  • Attend and contribute to office-wide calendar synchronization meetings, providing updates and ensuring alignment across organizational schedules and priorities.
  • Draft and disseminate Principal Absence memoranda to inform leadership and staff of scheduled absences, leave periods, or official travel, maintaining operational awareness.
  • Develop, document, and maintain Standard Operating Procedures (SOPs) for administrative and scheduling processes, ensuring continuity, efficiency, and knowledge transfer.
  • Maintain detailed continuity books to support seamless transitions and institutional memory, capturing key processes, contacts, and decision points.
  • Coordinate ground transportation and official vehicle requests for meetings and events within the National Capital Region (NCR), ensuring timely and appropriate travel arrangements.
  • Prepare and process travel authorizations and vouchers using the Defense Travel System (DTS), ensuring compliance with government travel regulations and timely reimbursement.
  • Assist personnel in obtaining official passports and visas, managing submission of required documentation and coordinating with appropriate agencies to meet travel deadlines.
  • Ensure compliance with the Foreign Clearance Guide (FCG) by verifying country-specific travel requirements and incorporating them into pre-travel preparations.
  • Submit Aircraft and Personnel Automated Clearance System (APACS) requests, ensuring timely approval and coordination for overseas travel involving military or official aircraft.
  • Prepare and track visit requests, including country clearances and security access, supporting official travel and ensuring host organizations have required visitor information.
  • Provide high-level administrative support with a focus on discretion, efficiency, and responsiveness, often operating in a fast-paced and sensitive environment.
  • On occasion, provide support early evenings and/weekends.

Required Qualifications:

  • Active TS with SCI eligibility.
  • Bachelors degree. Will consider an additional 10 years relevant experience in lieu of degree for a total of 18 years experience.
  • 8+ years progressive experience providing administrative and executive support to senior executives.
  • Prior experience scheduling travel for senior leaders.
  • Demonstrated proficiency with the Defense Travel System (DTS).
  • Understanding and knowledge of federal instructions, regulations and directives related to travel, correspondence tracking and tasks related to federal administrative work.
  • Demonstrated high level of proficiency with MS Office Suite.

Preferred Qualifications:

  • Experience with federal Correspondence and Task Management System (CATMS)
  • Understanding and knowledge of federal instructions, regulations and directives related to travel, correspondence tracking and tasks related to federal administrative work.
  • Ability to provide clear communication both verbally and in written format.
