Executive Assistant



The Executive Assistant to the Vice Chancellor for Health Sciences Education and Executive Vice Dean for Academic Affairs, School of Medicine, will provide a high level of confidential administrative support for the Health Sciences Education department. This position requires professionalism, discretion, and the ability to work independently in a fast-paced environment.

Primary responsibilities include managing the daily calendar, resolving scheduling conflicts, and ensuring coordination of meetings and appointments. Facilitate organization of events and committees/meetings including managing distribution lists, preparing mass communications, recording meeting minutes, maintaining highly confidential records, coordinating catering, and managing distribution of all meeting documentation/materials. Will serve as the first point of contact for incoming inquiries; draft and prepare correspondences, memos, and presentations. Arrange and manage complex travel itineraries, reimbursements, and related documentation. Perform general office duties including processing office supply orders and organization of electronic and paper files; assist with special projects.


Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.


Essential Functions

Excellent time management, organizational, and prioritization skills with the ability to meet deadlines under pressure. Strong oral/written communication, and interpersonal skills to effectively interact with faculty members and staff.

High level of professionalism, accuracy, and diligence. Ability to properly handle highly confidential material.

Proficiency with Microsoft Office applications (PowerPoint, Excel, Word), and University systems).

Flexibility, responsiveness, and the ability to make sound decisions independently.


Physical Effort

Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
