Program Manager



The Program Manager will managing programming for the Office of Academic Career Development (OACD). The Program Manager will be responsible for: Collaborating with the Acting Director to develop and execute OACD programs for graduate students, postdocs, and faculty held virtually and in person and stay up-to-date on the changing needs of the academic research community to help assess initiatives and determine best practices. Management of pre-program tasks including arranging virtual and in-person meetings, sending invites, and creating calendar holds. Planning room layouts, ordering food, and requesting A/V support for in-person events. Building and maintaining relationships with speakers including providing support and feedback and scheduling pre-session meetings and presentation holds. Tracking all programming on a spreadsheet with details about session logistics. Management of all aspects of virtual programming including maintaining expertise in virtual meeting platforms and other technology and running virtual presentations. Management of post-program tasks including editing of video material and development of Qualtrics surveys. Functioning as co-manager of Springboard program, including management of all programming, communications, marketing, and web-related initiatives. Acting as a liaison between OACD and other departments, and virtual platforms to collaborate on program marketing and implementation of professional career development opportunities.

Editing feedback to ensure the highest level of content and execution, plans, manages, and assesses communication and content development to support career development of trainees through faculty. Participate as a member of the Pitt Career Consortium. General communication with internal and external constituencies. Job Summary

Performs all administrative and operational functions of a program. Coordinates all program events and personnel and provides services directly to customers. Develops and implements program policies and procedures. Performs budgetary functions and oversees media communications, website updates, and newsletters.


Essential Functions

Position primarily requires organizational skills, attention-to-detail, and strong communication skills.

Position requires a team-oriented individual who adapts easily to new challenges, and has exceptional organizational skills, strong interpersonal and written communication skills, the ability to manage multiple tasks under the pressure of deadlines, and strict attention to detail.

The Program Manager must be comfortable working both remotely and in-office as needed. Remote work requires internet and phone access.

Responsibilities necessitate a high degree of professionalism, versatility, flexibility, and creativity; proficiency in Microsoft Word, Excel, and PowerPoint; and high aptitude and initiative for researching and learning new technologies.

Excellent grammar and communication skills; ability to work well with other administrators, faculty, staff and students.


Physical Effort

Position requires mild to moderate physical effort. Incumbent will be required to lift boxes onto and off of portable carts for transportation to program, walk to locations throughout the Pittsburgh campus, and stand for extended periods of time if needed.
