Grants & Contracts Specialist
This position supports Department of Medicine faculty in securing external funding by managing the administrative and compliance aspects of grant proposal development. Responsibilities include assisting with the preparation and review of proposals and annual reports (developing budgets, ensuring adherence to sponsor guidelines and institutional policies, and coordinating internal approvals). The administrator serves as a liaison between researchers, institutional offices, and funding agencies to ensure that submissions are accurate, timely, and compliant with regulations. Additionally, the role involves processing incoming awards to ensure timely account setup in accordance with department, school, university, prime institution, and sponsor requirements. Success in this position requires strong attention to detail, thorough knowledge of funding agency requirements, and the ability to meet multiple deadlines in a fast-paced environment.
Assists in preparing and submitting small grant and contract proposals. Drafts and negotiates contractual arrangements and procurement proposals, conducts cost analyses, processes invoices, arbitrates claims and complaints, and performs all collections activities. Monitors grants and contractual arrangements and prepares routine financial documentation. Assists with policy and procedural interpretation and with the preparation of pre-award applications and reports to grant agencies.
Essential functions include: ability to sit at a desk for periods of time, to handle things such as telephone, computer, calculator, ability to communicate via phone, email and virtual platforms, ability to attend meetings in person or virtually. High level of writing and reading skills.
This is a fairly sedentary position but may require walking to other locations on campus
