POSITION OBJECTIVE:
The purpose of this position is to ensure the efficient operation of shipments by executing procedures and instructions that guarantee quality service to customers. The role is responsible for recording all physical movement of shipments in the warehouse and in office documentation, in compliance with customs regulations according to the destination. Additionally, it must ensure that import and export shipments are handled in accordance with transportation standards and international regulations, guaranteeing proper declaration and timely departure.

MAIN ACTIVITIES YOU WILL PERFORM:

  • Follow up on reported missing or excess cargo until the irregularity is resolved.
  • Comply with customs formalities such as: entries in SIGA, Customs Visits, Letters to Customs regarding AWB/manifests, Error Reports, as regulated by law.
  • Prepare entry and exit reports for cargo from all flights handled in the operation.
  • Efficiently manage the reading and response times of emails from the department.
  • Send import/export documentation via email to the various national authorities.
  • Maintain control of Transit Permits for Quarantine Authorities.
  • Inform the warehouse about connections for transit shipments. Verify each delayed export airway bill to inform the warehouse about refrigeration instructions and required temperature ranges.
  • Analyze the weekly inventory of import cargo.
  • Perform daily analysis of Cold Room Inventory.
  • Enter import, export, and transit data into systems as applicable, including document digitization.
  • Keep all physical and virtual operations files updated and organized, as they are subject to periodic audits.
  • Maintain effective communication with all parties involved in the operation, including other departments.
  • Prepare all necessary documentation and reports for import and export flights.
  • Prepare and deliver to Flight Dispatch the Position Form and loose cargo scheduled for flights within established timeframes to ensure timely flight departures.
  • Responsible for verifying shipments classified as Dangerous Goods.
  • Issue shift recap reports when required.
  • Prepare the notification to the flight captain regarding special shipments on board the aircraft (NOTOC).
  • Enter data into the system to provide visibility and comply with key global performance indicators.
  • Maintain control of transfers to other airlines.
  • Cross-check import airway bills and report missing documentation to origin.
  • Provide support to the Night Box, when applicable.

JOB PROFILE AND REQUIREMENTS:

  • High school diploma / Technical career
  • Proficiency in computers and software that optimize daily tasks
  • Excellent communication skills, both written and verbal
  • Organized, proactive, with initiative and motivation to achieve goals
  • Strong focus on customer satisfaction and problem-solving ability
  • Handling of Dangerous Goods
  • Familiarity with cargo movement, government regulations, and logistics operator procedures
