Job Summary
This position will work with the Department of Defense Programs. Department of Defense Programs provide Americans with training in languages and cultures critical to US national security. The Grants and Finance Coordinator, DoD Programs provides administrative support for language and culture focused Department of Defense (DoD) programs including The Language Flagship. These programs are implemented in partnership with U.S. universities The Language Flagship creates the next generation of global professionals by developing superior language skills of undergraduates at partner universities. The Grants & Finance Coordinator provides essential administrative support to the program team to ensure IIE’s quality implementation of these impactful programs. The role includes administrative task support to the program team for the timely, accurate, and efficient management of grant awards and subcontracts, to include award agreement compilation, grant and vendor invoice payment processing, input and maintenance of CRM records and data management, the filing and tracking of deliverables, and the initiation of risk assessment requests. The Coordinator will work with other team members in the execution of tasks and day-to-day activities and communicate the status of activities on a regular basis with the program team and other relevant team members within IIE. Additional administrative responsibilities include general meeting support, and logistics coordination for high profile sponsor and partner events.
Essential Functions:
• Maintains subaward recipient data in Client Relationship Management (CRM) system, following established procedures.
• Assists with the creation and processing of grant documents for technical completeness and accuracy.
• Tracks, coordinates, and processes partner invoice payments and ensures proper execution of reviewer travel and reimbursements.
• Serves as a primary point of contact and liaison with PeopleSoft (IIE’s financial system) colleagues.
• Communicates regularly with relevant team members within IIE to ensure consistent awareness of work status, and that all program needs and deliverables are met on time.
• Provides logistical support for webinars, reviewer panels, and trainings.

Qualifications and Experience:
Education and Work Experience:
• Requires an Associate's degree and at least two (2) years of related work experience, or an equivalent combination of education and experience.
Required Knowledge, Skills and Abilities:
• Excellent interpersonal and communication skills, both written and verbal.
• Proven ability to work both independently and collaboratively within a team-based structure.
• High level of numeracy and accuracy required.
• Interest in language and culture focused international programs.
• Proficiency with MS Office applications including Word, Excel, Access, and Outlook; internet software and database software.
• The government contract requires U.S. citizenship and ability to obtain a Tier-1 (T1) Position of Trust for unclassified access security clearance.
Preferred Knowledge, Skills and Abilities:
• Bachelor’s degree and two years directly relatable work experience strongly preferred.
Salary and Benefits:
Hiring Range: $26,924 - $30,047. This is the set starting annualized salary for this benefits-eligible regular part-time role. This regular part-time role will be 17.5 hours per week on a flexible hybrid work schedule. A candidate’s salary is determined by various factors including, but not limited to, relevant work experience, job-related knowledge, skills, abilities, internal organizational equity, and geographic region.
