Overview: The Facilities Coordinator is responsible for overseeing custodial staff. This role may also involve performing housekeeping duties, implementing disinfection and cleaning protocols, and maintaining the general upkeep of assigned premises.
Essential Duties & Responsibilities:
Collaborate closely with the Facilities Director on facility-related issues.
Inspect buildings for cleanliness, quality assurance, and safety compliance.
Conduct custodial departmental orientation and in-service training to ensure standardized performance across facilities.
Monitor custodial work performance and implement corrective actions as needed.
Establish and monitor custodial supply inventories at each facility.
Coordinate and approve custodial supply requests and orders.
Coordinate custodial services for after-hours functions.
Manage weekly and monthly staffing schedules, reallocating resources as needed in coordination with the Facilities Director.
Communicate consistently with site managers regarding scheduling needs.
Work collaboratively with all members of the collective bargaining agreement.
Conduct custodial equipment inspections, ensure use of protective equipment, and determine equipment needs.
Maintain a flexible schedule to observe work across all shifts.
Enforce all safety rules and programs.
Assist with snow removal and shoveling as needed.
Install, maintain, and repair equipment and physical structures as directed by the Facilities Director.
Perform minor repairs and paint interior walls as needed.
Replace light bulbs and fixtures.
Oversee night work by outside contractors as necessary.
Supervisory Tasks:
Coordinate hiring and transferring of employees. Screen, interview, and select qualified staff in a timely manner. Determine the need for contingent workforce.
Ensure all employees attend organization-wide orientation within 60 days of hire, receive departmental and job-specific orientation, and complete required competencies.
Conduct probationary reviews for new hires, rehires, transfers, promotions, dual job holders, and contractors within 90 days.
Collaborate with other departments to ensure effective organizational operations.
Set clear performance expectations, supervise compliance, and provide guidance. Take corrective or disciplinary action as needed.
Develop and implement staff development or improvement plans aligned with organizational mission and values.
Support the organization’s mission, vision, and values in all interactions, demonstrating respect and sensitivity to diversity.
Maintain confidentiality of patient and sensitive records at all times.
Demonstrate a positive and professional demeanor in all interactions.
Prioritize workload to meet deadlines and inform supervisors of delays.
Report deviations in practices or behavior that may compromise care or work quality. Report incidents and hazards.
Essential Skills / Qualifications:
Ability to work collaboratively with professional and clinical staff.
Working knowledge of cleaning equipment and supplies.
Experience in custodial management and supervision.
Ability to identify and correct work performance issues.
Knowledge of OSHA safety and hazardous materials training.
Ability to read and interpret hazardous labels.
Valid driver’s license.
Commitment to the mission of PCHC.
Bilingual (Spanish) skills and bicultural experience are highly valued.
Education / Licensure / Experience:
Associate degree or equivalent experience required; High school diploma or GED required.
Three to five years of experience performing minor repairs, high dusting, vent cleaning, alarm maintenance, and deep cleaning.
Prior supervisory experience required.
Three to five years or more experience in custodial operations and preventive maintenance.

Language Skills:
Ability to read, analyze, and interpret reports and basic statistical and financial data.
Ability to respond to inquiries and complaints from patients, regulatory agencies, or community members.
Strong written and verbal communication skills required.
Mathematical Skills:
Ability to work with mathematical concepts such as probability and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
Ability to define problems, collect data, establish facts, and draw valid conclusions in situations with limited standardization.
Physical Demands:
Regularly required to stand, walk, use hands, reach with arms, talk, hear, and maintain balance.
Occasionally required to sit and climb or balance.
Frequently lift and/or move up to 50 pounds.
Specific vision abilities include close vision, color vision, and the ability to adjust focus.
Work Environment:
The work environment is typically moderate to loud.
