Essential Job Functions:
The Trust Assistant is responsible for providing reporting requirements to guardians/Trustees and maintaining case data/files for all guardianship/trust cases in Baltimore City Circuit Court. Other duties include monitoring timely filing of reports and providing administrative support for guardianship/trust cases, i.e., data entry, sending and receiving correspondence via email and courier delivery. Assist the public, attorneys and disabled persons advocate agencies, i.e., Department of Social Services, with obtaining general information regarding Circuit Court Standard Operating Procedures (SOPs) pertaining to guardianship and trust cases.
Essential Duties and Responsibilities:
Notifies guardians/trustees of report filing due dates via the Maryland Electronic Courts (MDEC)Tickle Reports, sends correspondence via email/mail and calls guardians/trustees when necessary.
Answers telephones, screens, and routes calls, greets visitors, responds to inquiries from the public, and provides general information regarding the Circuit Court. Coordinates, reviews, process, and distributes all incoming and outgoing mail. Processes CV Addit fee payments, sorts, processes, scans and files Orders of Court and other miscellaneous filings. Performs all other related duties as assigned.
Establishes new guardianship/trust files, updates MDEC involved party information, creates and provides new appointees with new guardianship packages and sets up appointments for new guardianship consultations (if applicable).
Investigates delinquent report filings, prepares, refers and processes Show Cause Orders for issuance.
Education:
High School diploma (or GED equivalent).
Experience:
Two (2) years of clerical, fiscal, or accounting work experience.
Note:
A bachelor's degree may substitute two (2) years of required work experience.
A Paralegal/associate degree or 60 college credits may substitute two (2) years of required work experience.
A Paralegal Certificate may substitute one (1) year of required work experience.
Preferred: Some college or AA degree in Business Administration or a Paralegal Certificate.
Knowledge, Skills, and Abilities:
Knowledge of:
Knowledge of general office practices, procedures, and equipment required to support the specialized work of the assigned unit(s), i.e., standard office equipment, computer equipment, and computer software applications (Microsoft Office 365) etc.
Knowledge of Odyssey Navigation (MDEC)
Knowledge of Odyssey File & Serve (OFS)
Knowledge of Uniform Court System (UCS Legacy System)
Legal terminology, and estate administration.
Knowledge of Real Property database search and assessment.
Skill in:
Organization and time management.
Analyzing problems and collecting data
Customer Relations Management
Skip Tracing (research, investigation and gathering information to locate Guardians/Trustees)
Verbal and written communication.
Ability to:
Establish facts and draw valid conclusions to determine the appropriate course of action.
Perform basic reading, comprehension to include, but not limited to, spelling, punctuation, editing, and proofreading written communication.
Perform intermediate arithmetic calculations and accounting procedures accurately, to include, but not limited to addition, subtraction, multiplication, and division.
Review cash receipts and financial statements.
Prioritize and exercise independent judgment in interpreting procedures and handle multiple tasks.
Pay close attention to detail.
Effectively convey directions, instructions, and information to employees, Judges, Magistrates and the general public, both orally and in writing.
Handling employee and customer related conflicts tactfully and patiently.
Follow directives as authenticated in the Order of Court or the pleadings filed with the Court.
Review all correspondence and validate the suitability of the responses to be provided while ensuring conformity to the appropriate organizational policies, procedures, and meeting deadlines for priority actions.
Apply job-related codes, policies, procedures, rules, regulations, and laws as required.
Handle sensitive or difficult situations requiring discretion and confidentiality
Type a minimum of 35 wpm net with no more than 5 errors.
Perform all essential functions of the position.
Physical Requirements:
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Adobe Suite, Connect, Microsoft 365, MD SDAT Real Property Search, Odyssey Navigation (MDEC), Odyssey File & Serve (OFS), People Search Engines (Various), SharePoint, Register of Wills Estate Search, Uniform Court System (MDEC Legacy System), and Video/Courtsmart System?
