Overview


CommIT Enterprises, Inc is looking for a highly organized and detail-oriented?Office Coordinator to support the administrative functions within our Stafford, Virginia office. In this role, you will be helping to ensure the smooth day-to-day operations within our workplace, this includes supporting staff members, ordering and receiving office supplies, issuing computers, supporting daily mail and package delivery, processing incoming and outgoing facility guests, ensuring security procedures are followed and maintaining a professional and welcoming environment. This position is ideal for someone with strong administrative experience, excellent communication skills, and a proactive approach to getting things done. The dress code for this position is business casual. Our standard business hours are 8am-4pm, Monday-Friday (we can have some flexibility regarding these hours if required).

Established in 2001, CommIT is a Certified Veteran-Owned Small Business (CVOSB) providing innovative technical engineering and data science services. Our enterprise systems support includes the Department of Defense’s (DoD) GCCS-MC, CAC2S, TBMCS-MC, and the Department of Veteran’s Affairs’ (VA) telehealth communications. We offer acquisition management, systems engineering, Agile software development, cloud management, IT modernization, data analytics, cybersecurity, and training, including leading-edge DevSecOps, automated testing, and mobile application development.


Responsibilities


Your essential job functions will include but may not be limited to-

Office Administration

  • Support and coordinate general office operations, guests, personnel onboarding support (such as mailing shirts to new employees), administrative supply management, mail distribution, and vendor delivery coordination.
  • Maintain a clean, organized, and efficient office environment.
  • Meet and sign in (ensuring security protocols are followed) arriving guests and escorting them to the designated contacts or meeting locations
  • Serve as the primary liaison between building management and our workspaces. ( Heat, A/C, leaks or any other reported facility issue)
  • Must be able to lift objects up to approximately 25lbs from floor level to shelves at a height of 4.5 feet.
  • Possess a general understanding of operating in a secure space and protecting proprietary and controlled information

Administrative Support

  • Provide administrative assistance to leadership and staff, including preparing spaces for meetings, preparing documents, and providing a welcoming environment for our facilities guests.
  • Purchasing and maintaining accountability of administrative supplies.
  • As required, support onboarding and offboarding processes in collaboration with HR.
  • Using a company FEDEX Account to mail laptops to new employees
    • Receive and process returned laptops that are damaged or when a current employee terminates

Policy & Procedure Management

  • Enforce documented office policies and procedures to ensure consistency and efficiency.
  • Maintain records, files, and documentation in accordance with company standards.
  • Ensure compliance with health, safety, and workplace regulations.
  • Support the enablement and compliance with Security procedures, directives and best practice procedures.

Employee Engagement & Culture

  • Foster a positive and inclusive office culture through thoughtful interactions planning of team events and celebrations.
  • Act as a point of contact for employees’ questions related to office logistics (supplies and services) and resources.

Qualifications


Required Experience and Education:

  • 3+ years of experience in office management, executive assistance, or administrative support.
  • A strong work ethic coupled with a how can I help mentality
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent interpersonal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office tools.

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
