Administrative Operations Manager

We are seeking a highly organized and proactive Administrative Operations Manager to support the Director and senior leadership of a large, multi-mission organization. This pivotal role blends high-level executive support with operational and administrative leadership. The ideal candidate is a skilled communicator and process-oriented professional who thrives in a fast-paced, high-stakes environment.



Responsibilities:


Administrative Support

  • Serve as a strategic partner to the Director, managing calendars, priorities, and day-to-day engagements. Ensure the Director is well-prepared for meetings and engagements by providing briefings, materials, and context as needed.
  • Coordinate complex travel using the Defense Travel System (DTS), prepare detailed itineraries, and develop trip books.
  • Screen and coordinate meetings, manage invitations, conference room bookings, phone bridges, and follow-ups.
  • Act as the front office communication point of contact by managing and tracking all incoming/outgoing tasks, briefings, and correspondence. Draft, edit, and manage internal and external communications.
  • Coordinate pre-brief meetings, read-aheads, and consolidate responses to internal/external taskings. Monitor deadlines and alert staff on at-risk or overdue items.
  • Provide guidance on records management and administrative procedures.


Office Management

  • Oversee day-to-day operations of the front office, including supply management, roster updates, room setups, and troubleshooting.
  • Submit and track facilities and IT support requests (e.g., Maximo, BOC, JSP tickets).
  • Coordinate in/out-processing, VIP visits, secure VTCs, and conference room logistics.
  • Maintain personnel tracking (ex: leave, training, telework, TDY).
  • Provide administrative oversight to a small team; offer advice and process guidance.
  • Foster strong internal communication and collaboration across directorate staff.
  • Represent the Directorate in engagements with stakeholders, customers, and partners.

Qualifications:

  • Active TS-SCI
  • Proven experience in executive support, office management, or administrative operations at a senior level.
  • Strong judgment, discretion, and the ability to manage complex schedules and competing priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in managing workflows, task tracking systems, and correspondence.
  • High attention to detail and ability to operate under pressure and tight deadlines.
  • Familiarity with government or military environments is a plus.
  • Experience with tools such as DTS, CATMS, Maximo, JSP ticketing systems preferred.
