Job Summary:
The Document Control Specialist is responsible for managing, maintaining, and safeguarding the organization's-controlled documents to ensure compliance with internal policies, quality management system requirements, industry standards, and regulatory obligations. This role ensures that documents are accurate, up to date, properly distributed, and easily retrievable, supporting operational efficiency and regulatory compliance.
Key Responsibilities:
- Establish, implement, and maintain document control processes and procedures in alignment with company quality standards (e.g., ISO 9001, AS9100, or other applicable standards).
- Receive, review, process, and distribute controlled documents, including policies, procedures, work instructions, specifications, and records.
- Assign and maintain document numbering, revision control, and version history.
- Ensure timely review, approval, and release of documents in accordance with defined workflows.
- Maintain document databases and electronic document management systems (EDMS) for accuracy, consistency, and security.
- Monitor and enforce compliance with document control procedures across all departments.
- Archive obsolete or superseded documents according to retention policies.
- Oversee the records management system to ensure the systematic creation, organization, storage, retention, and secure disposal of company records in compliance with legal, regulatory, and business requirements.
- Support internal and external audits by providing requested documentation.
- Train and assist staff in document control processes and proper use of document management systems.
- Generate reports and metrics on document control activities as required.
Required Qualifications/Experience:
- High School diploma or GED;
- Plus 3-5 years of experience in document control or records management, preferably in a regulated industry (manufacturing, engineering, aerospace, defense, pharmaceutical, or construction).
- Knowledge of quality management systems and standards (e.g., ISO 9001, AS9100).
- Excellent communication skills, both verbal and written; ability to work cross-functionally.
- Strong computer skills and working knowledge of Microsoft Office suite, with the capacity to learn new systems and/or updated software.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent organization skills and attention to detail.
- Uses good judgement and has sound decision making and problem-solving skills.
- Acts with integrity, works collaboratively, meets commitments, and strives to continually improve processes.
- Must be authorized to work in the U.S.
Preferred Qualifications:
- Associate degree and/or bachelor's degree in business administration, quality management, or a related field
- Defense industry experience to understand programs, terminology, and customers.
Other Requirements:
- Travel: Possible visits to other Repkon USA locations.
- Work Environment: Office work environment. May require occasional overtime to meet project or audit deadlines.
- Background Investigation / Drug Screen: Required.
