Description

The Medical Receptionist/Scheduler is the first point of contact for patients and visitors. This role is responsible for providing excellent customer service, scheduling appointments efficiently, verifying patient information, handling phone calls, and assisting with administrative tasks to ensure the smooth operation of the medical office.

Key Responsibilities:

Front Desk & Patient Interaction

  • Greet patients and visitors in a professional and friendly manner.
  • Answer phone calls and route them appropriately or take detailed messages.
  • Verify and update patient demographics and insurance information.
  • Provide general information about the practice, services, and policies.

Scheduling & Coordination

  • Schedule, reschedule, and cancel patient appointments based on provider availability.
  • Coordinate specialist referrals and follow-up appointments as needed.
  • Maintain accurate appointment calendars for physicians and other providers.
  • Notify patients of any changes to their appointments.

Administrative Support

  • Handle incoming and outgoing faxes, mail, and emails.
  • Maintain patient confidentiality according to HIPAA regulations.
  • Support clinical staff with administrative duties as needed.
  • Maintain a clean and organized front desk and waiting area.

Qualifications:

  • Prior experience in a medical office, clinic, or customer service setting.
  • Proficiency with electronic medical records (EMR/EHR) systems for patient scheduling, demographics, and insurance updates.
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and ability to manage email and fax systems.
  • Excellent verbal and written communication skills for greeting patients, answering phones, and relaying messages clearly.
  • Strong interpersonal skills with the ability to interact professionally with patients, families, providers, and staff.
  • Demonstrated ability to provide courteous, patient-focused service in a fast-paced environment.
  • Ability to multi-task while maintaining accuracy in scheduling and documentation.
  • Detail-oriented with strong problem-solving skills, especially in coordinating appointments and referrals.
  • Reliable time management and ability to prioritize tasks effectively.

Education:

  • High school diploma or equivalent required
  • CCMA or RMA preferred
