Event Coordinator
Houston, TX Campus
Department: Fuller TX (“FTX”) and Stratcom
Hours: Part-time (10-20 hours per week)
Status: Non-exempt
Location: In-Person, Houston, Texas
Reports to: Chancellor of Fuller Texas
Objective: The Event Coordinator serves as the primary coordinator for all FTX events, hospitality needs, room and space scheduling, third party event contracting and coordination, and experiences that promote and support the overall mission and vision of Fuller Seminary in and around the FTX campus. This position will work closely with the FTX team under the direction of the chancellor, and will also collaborate and partner with Stratcom in Pasadena to build cohesive and consistent Fuller-branded events and experiences.
Essential Duties and Responsibilities:
EVENT COORDINATION:
Provide coordination and on-campus support for all FTX events (for example, book launches, special chapels, commencement, centers events, and student, learner, donor, and alum events, etc.) as scheduled under the direction of the Chancellor of Fuller Texas
Create, manage, and execute event production schedule in ClickUp
Work closely with marketing in event promotion
Oversee event communications, including RSVPs, Eventbrite communications, etc.
Prepare event timelines, including a Play by Play and Program Agenda as needed
Serve as primary campus liaison with vendors. Oversee all delivery schedules, rentals, catering, table linens, event equipment, floral centerpieces, furniture, etc.
Oversee event setup/teardown and manage the organization of event storage
ALL HOSPITALITY NEEDS FOR FTX
Provide hospitality support for all events associated with FTX, including student intensive weeks, as well as for regular day-to-day in-office operations at Fuller TX.
Oversee, manage, and maintain the optimal operationability of the break room and kitchen of FTX. This includes stocking and re-supply of supplies, refreshments, beverages, snacks, etc.
TEAM PLANNING & COORDINATION WITH FTX:
Attend weekly FTX all-team meeting, and any other required meetings
Manage / maintain all scheduling & calendaring required for all FTX events
INTERFACING WITH PASADENA:
Attend any meetings required by stratcom
Complete the Event Submission Form on behalf of FTX as needed
Manage event budgets, submit invoices, and process payments with the Office of Finance and Accounting
INTERFACING WITH THIRD-PARTY EVENT REQUESTS
Receive inquiries for third-party events on TX campus and work with Regional Director in assessing feasibility and scheduling availability
Work with Regional Director to produce contract, assessing all needs pertaining to event (for example, technology, audio / video, catering, etc.)
Ability to find new third-party contracts is a plus, which includes bonus payment for additional hours
Knowledge and Skills Required:
Bachelor’s degree or equivalent
A minimum of three years of event experience
High proficiency in Google Suite
Excellent oral and written English communication
Energetic self-starter with the ability to work independently
Excellent interpersonal skills
Able to balance multiple projects and re-prioritize as needed
Exceptional organization skills with meticulous attention to detail
Able to maintain a positive customer service attitude in challenging situations
Must be able to run errands for events
Able to stand up to 4 hours at a time during events
Able to lift 30 pounds onto a cart, push/ pull 120 pounds on a cart, and climb stairs and stepladders
Experience in Eventbrite, Slack, and ClickUp project management preferred
Must be willing to work in person for all key seminary events, including occasional early mornings, evenings, weekends, and holidays as scheduled
Flexible schedule with the ability to work varying hours depending on event needs
Able to travel to Pasadena or Phoenix campuses to support events as needed
Able to attend stratcom team meetings remotely

Must be willing to abide by Fuller Community Standards
This is a fully in-person position, working out of the Houston, TX campus
Pay Scale:
Hourly rate the seminary expects to pay: $22.00 - $25.00 per hour USD
