Position Title: Proposal Coordinator

Position Description

As a Proposal Coordinator at Cushing Terrell, you will be integral in the planning and coordinating, in conjunction with firm Marketing Managers and VM Leaders, to develop proposals and requests for qualification responses, and creating/updating sales/proposal materials. You will represent the firm to clients, peer organizations, and business associates. This position also supports the Sales Team by tracking, researching, reporting accurate sales information, and providing critical support services to ensure effective and efficient operations.

Position Salary Range*

The expected salary range for this position is $60,000 to $75,000 annually.

Required Qualifications**

  • A bachelor's degree, preferably in Communications, English, Journalism or Marketing
  • At least 3+ years proposal coordinating expereince
  • Proficiency using CRM databases (e.g., Vantage Point, AEC 360/MS Dynamics)
  • Strong interpersonal, organizational, planning, verbal, and written communication skills
  • Ability to utilize digital and traditional media best practices
  • Ability to work collaboratively in a team environment with internal and external contacts at all levels
  • Ability to work independently, shift focus, meet deadlines, adapt to changing priorities, and maintain patience in high-pressure situations
  • Ability to develop and sustain client relationships

Preferred Qualifications**

  • Preferred 3-5 years of job-related experience in AEC industry
  • Experience with additional business and communication software, such as MS Teams, Google Analytics, Adobe Suite, Outlook, and Microsoft Office Suite
  • Familiarity with asset management software, such as Open Asset and JoistAI
  • Basic understanding of the Architecture and Engineering industry

Position Responsibilities***

  • Support the proposal response process, including go/no-go decisions, team coordination, writing, editing, reviewing, and distributing materials
  • Assist marketing managers with tradeshow and professional event assets
  • Track, maintain, and assemble up-to-date marketing collateral (print and digital), including project summaries, costs/statistics, templates, reference letters, qualifications, and resumes.
  • Conduct research and assist in developing press releases, trade articles, award entries, and blog posts.
  • Provide administrative support: record meeting minutes, perform market research, enter data, archive files, and prepare materials for project interviews.
  • Collaborate with marketing managers, vertical market leaders, the graphics department, and external partners on proposal and project deliverables.
  • Deploy strong writing skills (creative, persuasive, and technical) across a variety of formats.
  • Take initiative with assignments, anticipating needs and proactively addressing them.
  • Ensure all materials adhere to brand standards and established writing styles

*Actual pay will be determined based on the candidates years of experience, licensure status, location, level of proficiency, and other job-related factors (as permitted by law). This position is also eligible for an annual performance bonus.
