Position Overview 

The Documentation Scanning Coordinator oversees and manages the digital conversion of physical documents, ensuring high-quality scans, proper indexing, and organized storage in a digital repository. Key responsibilities include operating and maintaining scanning equipment, training staff, ensuring compliance with quality and regulatory standards, and developing efficient scanning and document management processes. This role requires strong organizational skills, attention to detail, computer proficiency, and the ability to train and communicate effectively with team members and other departments.


What You’ll Do

  • Organize, track, and maintain documents and records using document management systems. Ensure the proper creation, review, release, posting and updating of non-Quality Management System (QMS) documents. Assure compliance with AS9100 and ISO 9001 document control requirements.
  • Operate and maintain scanning equipment and software.
  • Ensure documents are properly labeled, version-controlled, and archived according to company standards. 
  • Verify the accuracy, completeness, and regulatory compliance of documentation. 
  • Scan various types of documents, ensuring proper resolution and quality.
  • Distribute updated documents to the appropriate stakeholders and maintain records of approvals and revisions. 
  • Collaborate with teams to implement and improve document control processes and workflows. 
  • Implement and optimize scanning processes for accuracy and efficiency.
  • Develop and document standards, best practices, and procedures for scanning and document handling.
  • Monitor scanning operations for areas of improvement and implement solutions.
  • Create and maintain digital filing systems and metadata for scanned documents.
  • Ensure documents are accurately indexed, categorized, and stored in a secure digital repository.
  • Perform quality checks on scanned images and data to ensure integrity.

Who You Are

  • Proficiency with scanners, digital document management systems, and computer software (e.g., MS Office).
  • Strong ability to organize materials, maintain records, and manage digital workflows.
  • Critical for ensuring the accuracy, quality, and legibility of scanned documents and data.
  • Ability to train staff, communicate effectively with team members and management, and document processes.
  • Ability to identify issues in scanning operations and implement effective solutions.
  • Familiarity with document retention laws, compliance standards, and quality assurance protocols (especially in regulated industries like pharmaceuticals).
