Position Title: Warranty Administrator

Location: Louisville - Louisville, KY

POSITION SUMMARY

Responsible for the daily warranty administration support for designated region within Equipment Depot, identified by the Warranty Administration Supervisor. The Warranty Administrator works directly with technicians and service managers in order to provide all of the necessary information needed to ensure highest recovery rates possible during warranty submission process. This position requires a highly organized and detail-oriented strong communicator, with a passion for problem resolution and thorough submissions. The Warranty Administrator role requires the ability to consistently meet vendor warranty claim deadlines, as the success of the process relies on timely and accurate submissions to maximize recovery rates.

Essential Functions Statement(s)

  • Works in close alignment with regional service managers and technicians, developing and maintaining open communication to expedite efficient, high quality submissions.
  • Ensures vendor warranty claims are filed within Original Equipment Manufacturers (OEMs) time requirements.
  • Reviews branch generated warranty works orders to ensure all necessary information is thorough and accurate, often requiring direct contact with involved parties when additional information is needed.
  • Solicits, gathers and understands the technical information and incorporation of advice from Warranty Administration Supervisor or Technical Communicators (“TCs”), to assist in successful and accurate warranty claim filing.
  • Manages the flow of warranty credits from OEMs, coding the credit and forwarding to Accounts Payable (AP) to post.
  • Researches and communicates directly with OEMs, in regards to denied warranty claims.
  • Closes and invoices service work orders after warranty claims are filed.
  • Communicates company labor rate adjustments to OEMs, as provided by Warranty Administration Supervisor.
  • Works with service managers and technicians to improve information quality received within submitted work orders.
  • Identifies and communicates trends within the region or business environment, while providing solutions to resolve.
  • Develops and distributes reports, per formal reporting procedure, as it relates to the current state of regions warranty metrics (approved recovery %, approved recovery dollars, payments on hold, etc.).
  • Contributes warranty-specific strategic objectives and goals of the region, communicating short and long term tracking and execution with the Warranty Administration Supervisor to incorporate into his/her company-wide goals.


Qualifications:

SKILLS & ABILITIES

Education: Minimum high school diploma

Experience: Prefer at least 2 years service experience in a clerical role, ideally within the warranty field. Material Handling experience preferred due to the technical nature of the role

Computer Skills: Advanced knowledge of computer operation and ability to use Microsoft Office, such as Word and Excel
Other Requirements: Strong organizational and communication skills.
