Your role as an Operations + Subcontracts Coordinator

As an Operations + Subcontracts Coordinator you will provide administrative support to business operations and subcontracts teams. Success in this role will require the ability to shift direction as priorities change, prioritization of tasks at hand, and strong attention to the details. This person will be communicating frequently with both external and internal customers to complete credit applications, business partner set-ups, assist with and ensure subcontract compliance.

During initial training period, this role will be fully in-office. After initial training period is completed, this role will be eligible for a hybrid-remote schedule (3 days per week in-office, with remote work flexibility up to 2 days per week). This role may be based out of the following Harris office locations: Las Vegas, NV; Salt Lake City, UT; Bellingham, WA.

Hours for this position are Monday-Friday, 8am- 4:30pm pacific time / 9am - 5:30pm mountain time.

Operational Services Support

  • Manage shared inbox by answering basic inquiries, forwarding requests to the correct department, sorting emails to appropriate folders, categorizing and overall organization of emailed requests and information.
    • Research and communicate with team members and other departments to accurately respond or redirect emailed requests.
  • Set-up business partners (vendors, customers, and employees) in various Harris ERP systems.
  • Manage and maintain business partners in Harris ERP systems to ensure alignment and minimize duplication.
  • Ensure payment remittance/billing and legal information is current and validate by communicating with external customers and vendors.
  • Process credit applications for local and out of state vendors by applying knowledge of company information and business structure.
    • Thoroughly analyze terms and conditions and flag items for further review by escalating it to the Purchasing department.
  • Allocate p-card charges for various departments. Maintain efficient record-keeping processes for p-card receipts.
  • Assist with p-card administration and distribution, as needed.

Subcontracts Team Support

  • Learn Harris ERP systems to update compliance status. Utilize reports and queries to assist with resolving compliance holds.
  • Manage subcontract compliance documents by keeping an organized file structure of important documents for reference.
  • Review and analyze subcontractor documents to ensure all Harris requirements are met.
  • Upload the appropriate project specific documents to the correct job files for company reference.
  • Enter simple subcontracts and change orders as assigned.
  • Provide prompt responses to internal and external inquiries about subcontractor compliances and initiate communication to resolve noncompliant subcontracts.
  • Review weekly AP compliance hold lists: communicate with AP, project team, and subcontractor to obtain required documents.
  • Research and develop ERP reports to assist with resolving compliance holds.
  • General administrative scanning and filing of subcontract files, ensuring adequate and proper documentation of subcontract compliance documents.

General Administrative

  • Serve as back-up support to St Paul Construction, Estimating, Service + BA teams.
  • Special projects as requested.

What we're looking for in you

  • Associates degree in business or relater preferred or 2+ years of equivalent experience
  • 4+ years of MS Office experience
  • 2+ years of experience writing business level correspondence
  • 2+ years of experience providing administration support to a group or division
  • Strong communication skills

Pay Range: $23.69 - $35.53 per hour

The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience, and location.
