Position Overview:

Reporting directly to the President, the Executive Assistant provides executive support in a one-on-one working dynamic. Acting as the main contact for internal and external stakeholders concerning all issues related to the Office of the President, this role also consults with the Board of Directors and senior management teams. The Executive Assistant organizes and coordinates executive outreach, manages external relations efforts, and oversees special projects.


Key Responsibilities:

  1. Oversee the President's calendar, prioritize inquiries and requests, resolve conflicts, and make recommendations to ensure smooth daily operations.
  2. Perform a wide range of administrative duties to support the President's leadership, including assisting with special projects, creating complex documents, reports, and presentations, preparing information for meetings, composing correspondence, managing contact lists, and arranging travel.
  3. Function as the main point of contact for internal and external parties regarding all matters related to the President, including highly confidential or critical issues. Conduct research and prioritize actions, referrals, or responses, reflecting the President’s style and organizational policy. Communicate directly on behalf of the President.
  4. Serve as a liaison and support the Board of Directors. Manage coordination for Board meetings and events, including scheduling, drafting agendas, compiling, and distributing materials.
  5. Collaborate closely with the President to keep them informed of upcoming commitments and responsibilities and follow up as necessary.
  6. Coordinate all Board meetings, Quarterly Business Reviews (QBRs), and retreats, and assist with other meetings and events as required.
  7. Function as a "gatekeeper" and "gateway," facilitating smooth communication between the President and the team, demonstrating leadership to maintain credibility, trust, and support across the organization.
  8. Collaborate with the Board of Directors to coordinate the President’s outreach activities. Follow up on contacts made by the President to nurture ongoing relationships.
  9. Maintain discretion and confidentiality in interactions with the President and Board members.
  10. Collaborate on developing and implementing organizational engagement plans, focusing on employee recognition, diversity, equity, inclusion (DEI), and fostering workplace belonging.
  11. Assist with the operations of the UMC Charitable Foundation (UMCCF), including contacting grantees and scheduling award funding.
  12. Other duties as assigned.

Secondary Responsibilities:

1. Support committees as needed.

2.Ensure presentations are ready for the QBR.

3.Support in-office events.

4.Coordinate logistics for specific events.

  • Quarterly Navigation Meeting - Assist Marketing
  • QBRs – coordinate site logistics and catering along with calendaring with attendees
  • Support the annual Turkey Day delivery (order turkeys, coordinate timeline)
  • UMCCF golf tournament – Assist with logistics sponsorships
  • HR event support (HR will lead the overall initiative. This individual will collaborate with HR to support events by managing logistics, contributing to brainstorming, and assisting with execution)
  • Recruiting event planning
  • Bring Your Kid to Work Day annual event
  • Foreman's meetings - Assist as needed
  • Other “celebration weeks”
  • Lunch/celebration
  • Retirement parties -– Assist department managers with details and logistics

5.Sponsorship and associations

  • Coordination with companies and nonprofits on behalf of UMCCF
  • Coordination with companies and nonprofits on behalf of UMC
  • Coordinate and solicit volunteers for community outreach events such as Obliteride, Safe Crossings Foundation, Habitat for Humanity, etc.

6.Employee cause support (UMC or UMCCF) for basketball, baseball, community service events, Rotary, Mukilteo lighthouse, etc.



Required Skills and Abilities:

  • Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Expert-level written and verbal communication skills.
  • Proficiency in MS Office (Excel, Word, and PowerPoint in particular).
  • Demonstrated initiative in problem-solving with strong decision-making capability.
  • Emotional maturity.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to manage confidential information with discretion, adapt to competing demands, and demonstrate the highest level of service and responsiveness.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward-looking thinker who actively seeks opportunities and proposes solutions.

Preferred Education and Experience:

  • Bachelor's degree recommended.
  • Strong work tenure.

Required Licensing and Other Certifications:

  • Maintain a valid driver’s license and satisfactory driving record.
