Job Summary
This position provides group administrative support and general office support within RQI. Performs clerical, administrative, and general office duties of a responsible and confidential nature. Requires superior attention to detail, the ability to meet tight deadlines, exceptional organizational skills, the ability to juggle multiple priorities, and have a proactive approach. A high level of integrity in handling confidential information and professionalism in dealing with others is critical.
Position Responsibilities:
Administrative Support
Provides administrative support to designated RQI leaders including calendar management, meeting, event and travel coordination, processing of expense reports and invoices and various other administrative duties, all with a sense of urgency and confidentiality.
Coordinates and schedules meetings including booking rooms, ordering meals and providing meeting supplies.
Creates, proofs, and distributes Power Point presentations for various audiences.
Assists in drafting, proofing and editing various communications.
Communicates in a highly professional manner with individuals at all levels in the organization, industry and community.
Coordinate and complete special projects as assigned.
Office Support
Provides general office support for designation location ensuring efficient and professional operation of office; exercising discretion and diplomacy at all times.
Coordinates functional events and activities, including meetings and conferences with full responsibility for all arrangements.
Manages the utilization and ordering of office supplies for designated team(s) including special requests.
Coordinates technical systems access requests, facilities and maintenance requests and security access on behalf of staff.
Coordinates building maintenance needs with corporate facilities as necessary.
Maintain all confidentiality document records internally as well as archive files, including laboratory notebook issuance and archiving.
This position has frequent opportunity to identify administrative continuous improvements and to develop tools to assist department staff in their effectiveness.
Position Qualifications:
High School Diploma required; Bachelors or Associates degree in business or associated field preferred.
5 years of administrative experience supporting multiple leaders. Executive administrative experience highly preferred.
Demonstrated ability to produce quality, timely and accurate work under short time constraints.
Ability to work in a fast paced team environment and demonstrate a high degree of tact, discretion, flexibility and diplomacy.
Knowledge of US food regulations helpful.
Ability to maintain confidential information.
Excellent interpersonal and customer service skills.
Strong attention to detail, time management, organization and prioritization abilities required.
Ability to manage multiple priorities with limited direction.
Strong working knowledge of Microsoft Outlook, SharePoint, Word and PowerPoint. Ability to learn new software programs with limited training.
Previous experience with electronic travel booking and expense reporting systems strongly preferred.
Certified Notary Public beneficial.
