Raytheon IDS Integrated and Air and Missile Defense (IAMD) Mission Assurance Team is seeking a proven, high performing administrative professional to fill a key Executive Assistant role supporting the Directors of Mission Assurance, Human Resources, and Sustainment and their extended teams. In this dynamic and fast-paced role you will serve as an integral member of the IAMD team. In addition, you will partner and collaborate with other Executive Assistants and business leaders to understand and execute business priorities in a proactive manner. The ability to build relationships, exercise good judgment, and work across the Raytheon and Integrated Defense Systems matrix is critical. An important part of your skill set will be a high level of professionalism and the ability to maintain complete discretion and confidentiality of information.
Responsibilities will include:
Functioning as a member of the IAMD Mission Leadership Team (LT), attending staff meetings and other meetings as required; recording and distributing actions post meetings
Managing meetings including scheduling, managing schedule conflicts, and all meeting logistics including room reservations and set up, catering, AV requirements, meeting materials, etc.
Coordinating customer site visits, date/time, collecting material prior to visits
Tracking data requests and accompanying submittals
Collecting and consolidating data for monthly Highlights and Operations Review packages
Handling travel arrangements and expense reports for the Directors and immediate staff.
Assisting in the preparation and proper execution of EXIM requirements associated with travel, transfer of information, or foreign visitors.
Managing the approval process for special requests or policy exceptions
Registering visitors with the VRS system
Providing coverage as needed for other IAMD Executive Admins.
Supporting onboarding for new hires in IAMD Mission Assurance
Ordering supplies, set up services, and assisting with IT related requests
Other duties as assigned
6+ years administrative support experience specifically with scheduling and calendar conflict management
Experience preparing travel arrangements and expense reports
Experience with Microsoft Office
Exceptional phone skills including use of phone system, phone etiquette, clear message taking
Experience with MS Outlook
Personable, approachable and engaging; ability to represent IAMD in a professional manner
Comfort with interfacing at all levels of the organization
Knowledge of company policies and office procedures
Ability to proactively anticipate and identify needs and expectations of department and integrate into work process
Mature judgment and ability to work independently under minimal supervision
Ability to adapt and learn new skills quickly
Proficiency with Web-based tools such as Remedy, RayTrack, SPEED, MeetingSmart, RShare, ServiceNow, RGEMS, WebTE, Travelsmart, Skype
High School Diploma or equivalent with 6+ years of experience.
