Summary of Position:
Provides experienced coordination and administrative level support for a branch. Support Managing Principal (MP) and the Brooklyn & Queens agents.
Duties & Responsibilities:
Assist in reviewing and processing Listing Agreements (reviewing for language changes, filling out approval forms as needed, prepare redline documents and assist agents with facilitating the LA turnaround process. Oversee Listing Agreement processing to ensure accuracy and timely turnaround process. Liaison between legal and agents to ensure adherence to listing agreement requirements.
Input, update and maintain transactions in Salesforce system. Manage the opportunity pipeline in Salesforce. Assist in the preparation on weekly, monthly and quarterly marketing, sales and revenue reports. Coordinate responses from agents, ensure accuracy of data and cross reference with system. Maintain transactions in Salesforce.
Provide monthly and quarterly revenue estimates to Finance, after MP has reviewed and approved them.
Prepare and update meeting notes for weekly leadership meetings.
Schedule pipeline meetings and other agent/ staff meetings. Prepare necessary pipeline reports prior to meetings. Attend meetings and take notes.
Manage, prepare and maintain all expenses & reports.
Process employee transactions such as on boarding, leave of absences, promotional changes, and terminations.
Process draw extensions, renewals, and termination paperwork for brokers including amendments, agreements, promissory notes, etc.
Facilitate RTD Process: review RTD’s and submit for approval, track status of RTD submissions to ensure timely payments, manage RTD reports and tracking.
Track agent origination from RTDs.
Assist MP with CREW responsibilities, as well as assist with events and committee duties.
Assist with memberships and sponsorships in REBNY Brooklyn and Queens Chamber of Commerce, Downtown Brooklyn Partnership, Cristo Rey, and coordinate all activities with PR/Marketing, MP and agents.
Event planning and coordination for the Brooklyn and Queens.
Coordinates/supervises maintenance, alteration and relocation of office(s) and equipment.
Assist, support and coordinate office moves and remodeling projects with Corporate Project Management staff.
Coordinate the interviewing process for staffing process. Screen candidates. Assist with recruiting efforts, i.e., researching and compiling candidate profiles, scheduling interviews, conducting phone and in person screening of candidates.
Track and maintain agent billing & invoices, including company sponsored associates.
Facilitate RTD Process: review RTD’s and submit for approval, track status of RTD submissions to ensure timely payments, manage RTD reports and tracking.
Track agent origination from RTDs.
Provide payroll statements to agents and submit inquiries to accounting.
Liaison between agents and commission accounting to resolve commission issues.
Create monthly Market Roundup Marketing communications Report for Brooklyn and Queens and submit to PR.
Processing new hires (submitting EAF forms, coordinating interviews, setting up interviews on behalf of the agents and management, coordinating with IT).
Oversee contact for all office related operations: HVAC, lighting, cleaning, office and kitchen supplies and all facility related maintenance and supplies needed.
Supervise the maintenance of all non-computer office equipment (printers, faxes, copy machines) and arrange for repairs and replacement.
Coordinate any issues or requests with building management. Process access cards and visitor lists.
Manage vendors and facilities services - service requests with vendors, Submit supplier invoices for payment.
