Raytheon is currently seeking an Administrative Assistant who will provide direct support and assistance to directorate level personnel. The Assistant will perform a wide variety of administrative tasks within this fast paced organization. Activities include calendar coordination, meeting scheduling, weekly report creation, e-room administration, action item tracking, and coordination and facilitation of communication across the organization. Routinely interfaces with technical staff in multiple locations. Work location is Herndon, VA.

Duties and responsibilities include but are not limited to:

Providing general oversight for the daily activities for directorate level personnel

Managing the calendar, phone, e-mail, travel and contacts within Lotus Notes

Receiving and screening communications including telephone calls and e-mail messages, and provide assistance using independent judgment to determine which require priority attention; prioritize, channel, and facilitate communication from employees, staff members, business partners and leadership

Scheduling and coordinating logistical details for teleconference/video teleconference meetings

Collecting and preparing materials for use in meetings and discussions

Attending staff meetings, as required, take meeting notes and recording action items and distribute to appropriate parties

Preparation of travel reservations, expense reports, maintenance and order of office supplies, coordination of IT Support, and coordination of employee moves and records management

Operates office machinery and/or personal computers and must be familiar with several desktop and web-based applications

Managing Business Development support to include scheduling gate reviews and filing gate briefing packages

Primary POC for technical staff answering questions related to office operations and established policies and procedures and resolving or referring concerns by communicating proactively and demonstrating commitment to high quality service

Completing other duties and special projects as assigned

Contacts are frequent within and outside organization on significant matters requiring tact, persuasion and negotiation skills

Required Skills:

Must be willing and able to obtain a security clearance

6 years demonstrated experience working in an administrative support role

Must have the ability to prioritize tasks associated with a diverse organization

Must have outstanding verbal and written communication skills

Must have good knowledge and proficiency of Microsoft Office applications (Word, Excel, PowerPoint,
etc.)


Must be highly organized, flexible, detail oriented and be able to manage multiple tasks at one time

Must have the ability to learn and use new software applications

Must be trustworthy and have the ability to handle sensitive organizational information discreetly

Professional presence and phone/reception skills

Required Education:

Bachelor’s degree in related discipline (relevant work experience may be substituted in lieu of degree)

Desired Skills:

Secret security clearance or higher
