Senior Portfolio Lease Analyst
Job Description Summary
Responsible for leading the desktop audit process on all invoice/operating expense billings, which includes using discretionary judgment in negotiating and resolving identified discrepancies with the landlord. Position may also include oversight and direction to the Portfolio Analyst position, exercising reasonable judgment in responding to inquiries regarding leased or owned property information, accurately entering all property related critical dates and payables information, performing data quality audits of associates/peers, as well as maintaining accuracy of our technology information systems. Position requires the ability to successfully manage multiple priorities. This position may be responsible for one or more accounts
Involved in fostering client relationships
Extract pertinent and critical data from Real Estate Lease documents and generate Rent Memo to formalize and authorize updates to database. Extracted information aligns with protocol of standards established for client
Ensure that the accounting process is properly set up in database. This includes the development of an asset and liability, and the identification of cash rent, P&L rent, deferred rent and other balance sheet postings.
Perform final quality review of lease and sublease data abstraction to ensure accuracy. Verify and sign off on the quality of lease abstracts via a lease audit checklist.
Review database ensuring all data is current, accurately classified and reviewed for quality assurance
Must possess ability to produce accurate rent roll for both tenants and subtenants. This includes the confirmation of rent changes and the development of month over month variance analysis, special handling requests, and all necessary steps to ensure the proper monthly payments to landlords.
Review rent statements and ensure that all local charges are properly made by the applicable branch
Assist as necessary to ensure that Tenant Improvement Allowances are properly tracked and collected
Perform desk audits of annual operating expense statements to ensure all expenses are consistent with the terms of the lease. Bill out to subtenants the proportionate share of expenses
Manage sublease agreements including subtenant billing, aged receivables and proactive collection of past due rents
Prepare accruals to ensure that operating expenses are properly reflected in P&L
Develop lease budgets and support the ongoing forecast process
Work with accounting group to monitor prepaid rent account and reconciliations of GL accounts
Assist as necessary on all actions and options. Ensure that all actions and options are addressed and notice dates are met
Timely and accurate delivery of all standard and ad hoc reporting
Deliver ongoing reporting and analytics including occupancy cost analysis, costs to close, asset write offs
Review business terms of Estoppel Certificates, SNDA Agreements to ensure business terms are accurately reflected.
Maintain working/electronic lease files and ensuring that all files are updated and complete and follow corporate standards for records retention
Perform other office functions as necessary and applicable which may include, but are not limited to photocopying, faxing and transporting, filing, retrieving files and other relevant documentation
Perform standard processes established for client and will participate in providing suggestions for continued improvement and streamlining of procedures
Uses personal computer and calculator in performance of day-to-day responsibilities
Uses telephone in performance of day-to-day responsibilities
Bachelor’s Degree, Accounting/Finance degree preferred
Must have a minimum of 5 years in Real Estate Industry, with clear understanding of commercial lease terms
Must possess ability to effectively manage others
Microsoft Office – Intermediate to Advanced experience in Word, Excel and PowerPoint
Real Estate Data Management System an advantage
Accounts Payable and Receivable Functionality an advantage
