Raytheon's Integrated Defense Solutions (IDS) HR Employee Services team is seeking an HR Employee Services Specialist – Executive Administrator who is excited about working in a fast paced, action oriented environment, partnering with the Executive Talent Acquisition team, human resources and executive leadership to provide support for the executive interview process. Our Executive Administrator will be responsible for all aspects of the executive interview process including scheduling phone/on-site interviews, setting up candidate travel, candidate expenses and other administrative duties aligned with the End2End interview process. This role may also support the interview process for other business areas within Talent Acquisition.
This is a highly visible role that will require an individual who has the ability to multi task and prioritize work based on the business needs.
Responsibilities Include, but not limited to:
Engage with key stakeholders as an administrator to align with the recruitment strategies and hiring needs
Schedule phone, in-person and/or video conferencing interviews for managers
Schedule interviews based on the manager and candidate availability
Send confirmation emails to managers and candidates outlining the interview details
Process domestic and international travel arrangements and accommodations
Process reimbursements for candidate expenses according to internal processes and policies
Update applicant tracking tool with interview details
Managing multiple outlook calendars at a time
Performs additional duties as required
4 years of experience as an office manager, HR coordinator, or executive assistant with an Associate degree or 6 years of experience with a high school diploma
Microsoft Office Experience, including Outlook
Bachelor’s degree in HR, Business, or related discipline
Customer service focus and experience in HR, payroll, benefits, or highly visible administrative role requiring interface with all levels of the organization requiring coordination and collaboration
Excellent trouble-shooting and problem-solving skills in a high volume, fast paced, multi-tasking environment
Able to work effectively in a highly matrixed environment
Prior experience with International Scheduling
Ability to utilize HR systems such as PeopleSoft and Brassring
Demonstrate excellent verbal and written communication skills
Ability to multi-task and perform under pressure
Ability to work collaboratively across different teams
Possess strong analytical, organizational, and detail-oriented skills
Ability to work with confidential information with discretion and a high level of trust
Demonstrate ability as a team player
Ability to collaborate effectively and independently with individuals at all levels in the organization and team to deliver results.
