Procurement Operations Specialist
Job Description Summary
As a member of the Global Procurement Center of Excellence (COE), the principal purpose of the Procurement Operations Specialist is to assist the organization as it pertains to procurement process, policy, governance, analytics and ongoing support of global procurement technology solutions. This role will perform daily systems support related tasks while engaging in projects to further the organization’s goals. Requires developing strong relationships with stakeholders within all lines of business as well as with external suppliers and technology providers.
Must analyze and interpret data and take appropriate action while providing insight for improvements to procurement processes and systems. The systems include but are not limited to ProcurePlus, JD Edwards, Workday and an inhouse developed Vendor Management Software (VMS). An understanding of interfaces (e.g. XML, punchout, catalog) is also necessary as the Procurement Operations Specialist may be required to lead initiatives to establish and improve the overall user experience. Knowledge of spend analytics and reporting/business intelligence tools is a plus.
To succeed, the candidate must possess excellent time management skills with expertise in handling time-sensitive priorities in a customer driven environment. Outstanding communication skills and an understanding of multiple business processes such as supplier onboarding and enablement, procure-to-pay, eSourcing and contract/certificate lifecycle management is critical. The Procurement Operations Specialist will take input from other procurement team members, business area leads, Information Technology, Finance, Legal, Audit and must independently plan and prioritize daily activities.
The Procurement Operations Specialist will perform as an individual contributor and will not have direct management responsibilities.
Maintain master data in procurement systems which may include Procure+, Workday and/or VMS
Monitor the Procure+, Workday and/or VMS support email boxes and respond to user inquiries throughout the day (includes new user set up, profile maintenance and problem resolution)
Follow up on transactional based matters including incorrect workflows, integration issues and see open items through to completion.
Perform business acceptance testing in all procurement systems resulting from service packs and new feature implementations
Support Category Managers with the creation and maintenance of supplier punchouts and internal catalogs in Workday and Procure+
Conduct training and coach employees in the use of procurement tools including but not limited to Workday, Procure+ and/or VMS
Gather and analyze metrics using data collection techniques (e.g., downloading of transactional data to spreadsheet format) in order to report results to Senior Management
Extract, analyze and report on various data using company sponsored software (e.g., WorkDay, Procure Plus, JD Edwards, Excel, Access, PowerBI) in order to improve operational efficiencies.
Assist in the development of procurement related training and communications
JOB REQUIREMENTS & QUALIFICATIONS
Bachelor’s degree or Procurement Related Certifications
2-4 years of procurement experience in a global organization/role. Proven procurement competencies encompassing technology, data analytics, and customer support is required
Demonstrated experience performing root cause analysis including implementing changes to improve/correct root cause issues
Must have played an active role in at least one system implementation (procurement or non-procurement related)
Desire to be part of a high performing team
Desire to learn many aspects of Procurement and remain flexible with changing assignments
Outstanding customer service/customer relationship building skills
Excellent time management skills
Ability to prioritize multiple tasks
Proficient to expert in Microsoft Excel, PowerPoint and Word
Overall curiosity or desire to be engaged in technology
Strong business writing skills
