Job Summary

Aecom/Shimmick Civil Construction is looking to hire an experienced Office Management Specialist to support our projects in the Greater Bay Area in CA. This challenging position will provide an excellent growth opportunity while helping to improve our infrastructure.

Position Description or Typical Responsibilities:

  • Coordinates all office services and related activities, including developing and managing programs for the maximum utilization of resources, services and equipment

  • Active Team Player with positive attitude

Position Outline:

  • Manage project office facilities

  • Cost Analysis, ensure low cost purchase and budget review

  • Processing, coordination, and management of Accounts Payable for project

  • Processing, coordination, and management of Payroll for project

  • Prepare, analyze, and transmit Certified Payroll and any/all additional reporting documents per project and contract specifications

  • Document Control for project through pVault Software (Heavy scanning/indexing)

  • Provide support in accounting and project management modules in Viewpoint

  • Coordination with subcontractors

  • Invoicing; pay applications; waivers

  • Management of project insurance requirements with subcontractors and vendors

  • Process New Hires (Craft and Salaried) – Paperwork, training videos, drug testing

  • Coordinate and manage month end close with corporate office in order to provide timely and accurate reporting for project

  • Manage and maintain telephone systems and lists for project office; coordinate Verizon and Sprint cell/radio use for project

  • Stock and inventory control for office related equipment and products

Minimum Requirements

BA/BS + 2 years of related experience or demonstrated equivalency of experience and/or education
