Description

The purpose of this position is to provide administrative support on behalf of the Program Integration & Strategic Planning (PI&SP) team, including subteam areas, such as to Program Science Management Office (PSMO), Certificate of Flight Readiness (CoFR), and Center of Excellence for Collaborative Innovation (CoECI). The general function of the position is to provide comprehensive administrative support to the NASA Human Health and Performance Directorate (HH&PD) and Human Health and Performance Contract (HHPC) managers on all levels, and other team members and customers, as requested. This support includes such duties as assisting with travel arrangements, processing expense reports, preparing and tracking purchasing documentation, organizing meetings, preparing and distributing agendas, and recording meeting minutes. As needed, the incumbent will also assist the coordination of special events and emphases (Safety, WISE, Award Ceremonies, HH&PD/HHPC "All Hands" meetings, etc.) This position also includes the preparation of summaries and presentation materials as inputs to monthly reports and other requested documentation. The incumbent serves as an expert on administrative operational policies and requirements and assists management with the coordination of HHPC goals, objectives, and long-range plans, The incumbent will perform other duties and assignments as required. ?

  • Plans and assists management in the coordination of resources
  • Identifies, analyzes, makes recommendations, and assists management with implementation efforts to achieve HHPC goals and objectives
  • Recommends needed changes to enhance administrative services and initiates actions, approved by management, designed to improve administrative operations or resources
  • Provides technical assistance and guidance to staff in the areas of space planning and facilities, printing and graphics, travel, conference scheduling, mail services, NASA and HHPC property, office supplies, and purchasing, etc.
  • Type reports, memos, and correspondence, and assist with the preparation of forms and other documentation and maintain these records and other PI&SP team, HHPC, and NASA records, as required
  • Coordinate communication within the PI&SP team, and other HHPC areas as needed, by answering telephone calls, taking messages, and distributing important information vie email and hardcopy as necessary
  • Organize meetings, including coordinating meeting logistics, preparing and distribution of agendas, recording minutes, and visitor badging
  • Serve as training coordinator for the HHPC team areas, as needed, and update and maintain corresponding records
  • Serve as safety coordinator for the HHPC team areas, as needed, including support for monthly inspections, and maintenance and archival of resulting records
  • Perform document review and editing, as requested
  • Support, coordinate, and assist with HHPC and NASA special events, such as award ceremonies, lunch talks, "All Hands" meeting, safety emphases, etc., as requested
  • Assist with configuration control and management of documentation, as needed
  • Coordinate Information Technology (IT) related issues or problems, for PI&SP staff or other HHPC teams, including the submittal of services requests
  • Serves on HHPC committees, as assigned
  • Competed other duties as assigned by management

Qualifications

EDUCATION / EXPERIENCE

  1. Required:

High School diploma or its equivalent and 5 - 7 years of related experience

  1. Desired:

Prior experience supporting senior managers in government, academia or industry

Background in science or medical administration

Prior experience supporting innovation related emphases

Prior NASA experience

SKILLS / TRAINING

  1. Required:

Proficient in Microsoft Office (Word, Excel, and PowerPoint)

Excellent written and verbal communication skills

Ability to communicate effectively with all levels of personnel

  1. Desired:

NASA administrative process and budgeting
