Job Summary

We are looking to recruit a Bid Coordinator into our Birmingham office to join our well established and experienced team.

The Bid Coordinator will generally support the Assistant Bid Manager and/or Bid Manager leading the bid, having read and understood the client requirements. You will devise draft bid programmes, coordinate inputs from Subject Matter Experts and track progress against tasks and individuals for reporting to the Bid Manager. The Bid Coordinator will work collaboratively with technical and operational colleagues, Bid Studio managers, writers, graphic designers and the Bid Studio leadership team. The role will cover the full procurement lifecycle including EOIs, PQQs and proposals.

Aside from supporting bids, the role requires proactive engagement in ad hoc tasks around general bidding best practice, including: driving bid knowledge management through the breakdown of bids into a bid library; collaboration with the knowledge team to log model responses and useful information; collaboration with graphic designers to support on ad hoc, simple graphics requirements; and supporting the Studio leadership team to develop processes, tools and guides around bidding.

You will work effectively in a challenging and dynamic environment, working to tight timescales and high standards. Your approach and behaviors will reflect a professional, experienced team with calm authority – building credibility and long-term relationships through day-to-day actions. A keen eye for detail and the ability to multi-task are key. You are expected to be a self-motivated, professional individual who is proactive, collaborative, and efficient.

Minimum Requirements

  • Excellent verbal and written communication skills along with experience of coordinating multi-disciplinary proposals of a high strategic value

  • An eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within their control

  • A sound working knowledge of Microsoft Excel, Word and PowerPoint and Adobe InDesign

  • A flexible approach to supporting bids and business development activities across the UK & Ireland

  • The ability to work professionally and collaboratively and build credibility with senior colleagues

  • The ability to work collaboratively with internal clients and to tactfully but effectively chase others for contributions as needed

  • A methodical approach to assisting in the administration and production of bids

  • The ability to work positively under pressure and deliver quality output to deadlines

  • The drive to improve and adhere to processes / systems and the motivation to contribute to and support bid teams

  • An experienced and efficient multi-tasker

Preferred Qualifications

  • Microsoft Word, Excel and PowerPoint

  • A working knowledge of Adobe InDesign

  • Foundation-level APMP certification (desired)
