Title:

Administrative Specialist III

Provide administrative or secretarial support to a department and/or Manager. Typical duties include general clerical, receptionist and project based work. Responsibilities may be unique to a specific function or department such as Procurement or Engineering, but are mainly administrative in nature. Under general supervision, works within a specialized function to complete tasks in accordance to procedure. Supports general business operations by providing simply administrative support activities. Requires ability to perform basic numerical, statistical, and/or financial analysis. Applies common sense understanding to execute written or oral instructions. Effective oral and written communication skills are required. The skills acquired for this job are typically acquired through a high school diploma and 4+ years of experience.

Preferred Qualifications:

The successful candidate will function as the business unit manager responsible for maintaining a knowledge management database; updating and organizing calendars for leadership; preparing correspondence, documents, and spreadsheets for the staff; and assist with all administrative actions within the organization.

Essential Responsibilities:

1) Problem solving: advise and support a 35 person organization on administrative actions including travel, timekeeping, onboarding. 2) Customer Relations: answering telephones and directing to the proper POC, interact daily with staff and provide help and guidance if needed, interact with vendors on a regular basis, and greet visitors in a professional manner. 3) Teamwork/ Cooperation: serve as an essential member of the organization and accomplish multiple tasks to support the organization to keep the office functioning efficiently, to include planning and executing teambuilding events and change of leadership ceremonies. 4) Leadership/ Supervision: assist with managing administrative tasks in a Product Management organization, provide guidance to individuals in the office, volunteer for team building events. 5) Resource Management: orders office supplies as required, ensures office automation equipment is in working order, maintains adequate supply of required forms and documents to support work site personnel; prepare correspondence, documents, and spreadsheets for the staff and manage the knowledge database they are stored in; complete all mandatory training; and be a good steward of funds and resources that support the office. 6) Communication: effectively communicate with staff daily both verbally and in writing, communicate new procedures to all personnel, connect with vendors on a regular basis, and prepare and review documents, reports, and briefings.

Perform all other position related duties as assigned or requested.

Minimum Position Knowledge, Skills, and Abilities Required:

Bachelor's Degree is preferred, but not required. Professional certifications are a plus. Three to five years of human resource or administrative support experience is required. Problem solving skills and the ability to multitask are essential functions of the job. Advanced knowledge of Microsoft Office Word, Excel, Power Point is required. Must possess excellent communications skills. Position may require minimal travel.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting up to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizing skills, and must be able to work under deadlines.
