We are looking for an experienced person to join our team in Peterborough as a Project Management Assistant.
You will be working in a well established, busy office assisting in project setups, including support with creation of work breakdown structures, entering tasks etc. as appropriate and then support the project financial maintenance through to closeout.
The role will keep the successful person busy and stimulated, working with various teams within the business and a changing workload depending on projects and the work you are involved in.
The role includes the following responsibilities;
Assist in pulling together documentation required to support project submission
Assist in co-ordination with Project Accountant to ensure project set-up is actioned timely and correctly
Act as the ePM assistant on the project team by preparing information and entering data for PM review and submission.
Ensure that financial impacts of change orders are correct.
Assist the Project Manager with the preparation and update of EAC (Estimation at Complete costs) for all projects.
Ensure that the current budget reflects original as-sold contract plus all client approved changes.
Process updates to projects
Assist in responding to questions arising from Finance
Assist with gathering information and preparing responses to bids in the format of Expression of Interest (EOI)/Request for Proposal (RFP) etc.
Assist in the monitoring of the accuracy of time recording
Provide Project Managers with ePM data for their review and monitoring
Assist Project Managers in identifying where spend is incurred outside of contract and support in gathering appropriate approvals in line with delegation of authority
Assist in gathering rates and resource date to support EAC updates
Liaise with Operational Finance to support regular project reporting
Review aged debtors report with project manager & capture and track actions required
Day to day administration supporting various departments and project teams
Assistance to the Directors and Operational Manager in preparing forecasts in reporting and servicing opportunities pursuits and contracted work
You will have worked in a similar role and you must be used to a fast paced and busy environment in which to work, we're looking for someone with ideally a background in project support or you will have assistant experience in other roles that may transfer to this position.
Relevant qualifications would be helpful but experience is more important in this position.
