Job Summary
A major portion of the position involves checking the status and reviewing material and service purchase requisitions (PRs) to be purchased.
Review adequacy of information, coordinating with the originator or technical specialist to clarify details of the requirement, ensuring all necessary information is included in the PR.
Process purchase requisition in the procurement module. Notifies buyers that there are material or service requirements in the system.
Direct working relationship with Vendors to ensure that supplies and equipment are shipped on the specified date.
Coordinates with Receiving to ensure deliveries are processed and delivered within specified dates.
Research and contact vendors for quotations for small supply actions.
Compiles documentation to establish procurement files. Maintains filing system
Performs data entry to close out purchase orders.
Maintains the distribution system for all correspondence.
Maintains a suspense file for documents such as RFQs, subcontracts and modifications
Prepares correspondence to subcontractors/vendors and internal personnel.
Perform all other position related duties as assigned or requested.
Minimum Requirements
Incumbent must possess a Bachelor's Degree plus two years of clerical experience. In addition, the incumbent must be able to demonstrate experience using word processing and database management software. Incumbent must be able to perform a combination of clerical and administrative duties under direct supervision, using communication skills to confer with employees at all levels within the organization, and performing a large volume of work requiring a high degree of accuracy.
