Job Summary

AECOM is seeking a Project Controls Administrator I for the Austin, Texas office.

General Project Manager (PM) Support

  • Develop strong skills within internal project accounting systems to support project managers with all financial aspects of projects

  • Develop relationships with internal support services (accounts receivable, accounts payable, procurement, intercompany, etc.) in order to ensure high level of quality in financial processes and allow for ability to quickly troubleshoot issues

  • Assist project managers with internal/external reporting as needed

  • Create and document results of project review meetings

Project Setup and Change Orders

  • Assist project managers with expeditious and accurate project set up and change orders

  • Route contractual documents for approvals and signatures

  • Ensure all approval and quality requirements are met

Project Cash Management

  • Understand contractual requirements and communicate with billers to ensure proper invoicing set up

  • Consistently ensure invoices are requested promptly and in line with contractual invoicing frequency

  • Review invoices for accuracy and work closely with PM to ensure invoices are posted and submitted promptly

  • Monitor client invoice payments and communicate with PM and Ops Mgr on any late payment issues

Project Cost and Margin Budget Management

  • Work closely with PM and Ops Mgr to enter accurate budgets into ePM

  • Proactively monitor weekly reports and communicate frequently with PMs to analyze actual vs budgeted costs. Escalate issues regarding potential cost overruns or margin erosion.

  • Proactively monitor billing rates on T&M projects to ensure alignment with contract and achievement of budgeted margin

  • Ensure proper approvals are received for any work or revenue at risk

  • Assist with subcontracts, POs, ICAs, and cost transfers as needed

Data Quality

  • Ensure EACs are completed per management guidelines / deadlines.

  • Proactively ensure all KPI requirements are met each month

Travel

  • Up to 10% travel required.

Minimum Requirements

  • HS + 2 YORE or AA/AS (US) or Diploma/Certificate (Canada)

Preferred Qualifications

  • Bachelor’s Degree in accounting, business, finance or economics

  • Engineering projects preferred

  • Minimum 3 years relevant experience

  • Proficient in Microsoft Excel

  • Exhibit excellent oral and written communication skills

  • Exhibit excellent analytical and problem solving skills

  • Exhibit systematic and orderly planning and organizing skills while managing multiple tasks simultaneously and meeting deadlines

  • Demonstrate the ability to deliver accurate, detail oriented results

  • Demonstrate ability to be self-motivated and continuously improve skills and processes

  • Possess excellent inter-personal skills and demonstrate ability to work cohesively with project team members

  • Exhibit understanding of fundamental accounting
