Job Summary

Our client’s Engineering department is seeking a highly talented administrative assistant for immediate employment in Client office in Concord, Ontario. The appropriately qualified candidate must be able to demonstrate a strong established administrative career preferably within the transportation engineering/public works industry.

The responsibilities of this position include, but are not limited to:

  • Prepare and/or proof memos, letters, correspondences and other documents; such documents will include technical and legal terminology

  • Familiar with the concepts, practices, and procedures used in engineering and public works

  • Rely on experience and judgment to plan and accomplish more complicated goals

  • Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work

  • Provide general administrative support including answering/placing telephone calls, schedule meetings, research non-technical matters

  • Assist with the processing and tracking of invoices, verify that invoices meet the approved format

  • Provide back up support and assist with work overflow as needed

  • Maintain routine and confidential records and files, including electronic and document filing

  • Assist project managers with basic & procedural information during the tendering process

  • Gather and process expense reports for department managers in a timely manner

  • Attends project meetings as required, prepare meeting minutes

Minimum Requirements

  • HS + 4 YORE or AA/AS (US) + 2 YORE or Diploma/Certificate (Canada) + 2 YORE

  • Knowledgeable in all aspects of Microsoft Word including formatting of reports and documents, as well as extensive Excel spreadsheet experience

  • Word, Excel, Outlook, Power Point, Adobe PDF editing, Webex conferencing

  • Mastery of written and spoken English

Preferred Qualifications

  • Ideally 5+ years relevant experience

  • Experience preferably in Engineering or Construction fields

  • University or Business College Diploma/Certificate or equivalent in Business Administration is desired

  • Fluency in French (written/spoken)
