AECOM is seeking an Operation Administrative Assistant. The Operations Administrative Assistant will be responsible for logistical and administrative support to the Operations Manager.
Responsibilities include but are not limited to the following:
Support the Operations Manager in daily office management, including: logistical and administrative support.
Assist the Lima team in travel arrangements, lodging reservations and transportation when needed;
Support tracking and labeling of inventory as directed by the Operations Manager, as well as keeping an accurate control of the assets;
Maintain office supplies in an adequate quantity for employees;
Request quotes, track answers from vendors, prepare comparison tables and prepare Purchase Orders as needed;
Support in tracking status of purchase orders with local vendors, also verify all support documentation is included on files(RUC, SAM, MK);
Track and report actions needing internal approvals and draft appropriate approval paperwork for review of the Operations Manager;
Upload documentation into the system as needed;
Assist with scheduling of appointments and conference calls, contact candidates as requested by the Operations Manager;
Support in the process of hiring selected personnel, draft Labor contracts, collect new employee documents, filling in the personal files as needed.
Other operational support, as directed by Operations Manager.
Secondary education graduate plus 6 years experience
Knowledge of general computer systems and software application
Experience in MS Office products (Word, Excel, PowerPoint)
Professional certification or College degree + 2 years of relevant administrative experience
Takes initiative to learn internal software and computer applications, and internal company processes
Writing and communication skills
You will have worked in a similar role and you must be used to a fast paced and busy environment in which to work, we're looking for someone with ideally a background in project support or you will have assistant experience in other roles that may transfer to this position.
Experience on large construction projects
Bilingual English & Spanish- writing, reading and speaking.
