Job Summary

AECOM is actively seeking a highly talented Document Controls/Construction Management Software Administrator staff for immediate employment in the Newark, NJ field office for the Passaic Valley Sewerage Commission (PVSC) construction program. The $500-million, 4-year resiliency program includes several construction contracts, and intends to improve flood resiliency of the existing 330 MGD wastewater treatment plant.

Job Responsibilities

The Document Controls/Construction Management Software Administrator will be responsible for the effective administration of all construction management documentation under program. All construction documentation will be generated, processed, and filed using PMWeb, web-based construction management software application. The Document Controls/Construction Management Software Administrator will be responsible for:

  • Establish, revise, and maintain document control procedures for PMWeb. Maintain workflows for various types of construction documents (submittals, shop drawings, RFIs, invoices, change orders, etc.).

  • Instruct, train, and mentor all stakeholders (owner, construction contractors, design engineers, construction managers) on the use of PMWeb.

  • Ensure all construction documents are correctly distributed and processed. Track status of all documentation. Ensure documents are closed in a timely fashion. Periodically extract project summary status reports.

  • Resolve problems, work with software provider to troubleshoot the system as necessary.

  • Ensure all construction management documentation is properly filed and backed up.

  • Performs other assignments as determined by AECOM Construction Manager.

  • Provides document management and project controls support which includes the receipt, inventory, audit, tracking, storage, retrieval and distribution of both classified and unclassified electronic, paper and other media project data and documents according to company policy, and proper procedures for the projects.

  • Manages the set up and maintenance of document control / records management for multiple projects and Project Managers.

  • Ensures that all local practices and activities comply with company policies and procedures.

  • Applies sound professional judgment and independent thought on details of work.

  • Resolves questions and problems.

  • Independently performs most assignments with little or no oversight.

  • Under general supervision, interacts with professional/technical staff and clients to accomplish assigned objectives.

  • Requires limited exercise of judgment.

  • Receives guidance on new aspects of assignments.

Minimum Requirements

  • 2+ years of experience in document controls for construction management projects.

  • General familiarity with construction documentation and construction business.

  • Experience in use of construction management software.

Preferred Qualifications

  • 4+ years of directly related experience.
