Job Summary

AECOM is seeking an HR Shared Services Representative to be based in our Calgary, Alberta location. This is a 3 month contract .

Reporting to the Onboarding Team Leader, this position will be responsible for providing clerical and shared services support to the Human Resources (HR) Talent Acquisition Department to deliver a positive and effective onboarding experience to Energy, Operation & Maintenance workforce. Duties may include processing employment applications and resumes. Maintaining personnel files, including creating files for new employees. Examines personnel files to answer inquiries and provide information to authorized persons. Generates a variety of standard reports as required. Takes direction and works under direct supervision. Decisions made or reviewed in conjunction with a more senior HR practitioner.

May include the following responsibilities:

  • Provide support to Talent Acquisition group which may include creating requisitions to hire, job postings, preparing offer letters, onboard new hires and assist in recruitment strategies.

  • Administer assigned employee program (i.e. Apprenticeship Program) for eligible employees including database maintenance, employees’ eligibility checks, coordination with different business units to collect required information and/or documents, order placement and distribution of certificates/plaques and awards/gifts to business units or employees

  • Administer Applicant Tracking, Crew Mobilization Database, and Onboarding systems

  • Monitor and follow-up on the completion of orientation and onboarding training/ticket requirements

  • Review and approve new hire / re-hire submissions and onboarding packages/documents

  • Complete special project assignment as dictated by HR business needs

  • Organize HR files and documentation on company intranet and/or HR systems

  • Assist HR client group regarding employee background checks

  • Review and upload sign-on packages

  • Scan and save HR forms and employee documents per e-Filing standards for each assigned client group and/or division

  • Able to cultivate relations through collaborative work environments and establish close partnerships within a matrixed organization

  • Responsible for assessing the onboarding experience and its effectiveness to identify and target areas for improvement

Conditions of Employment for this position are:

  1. For positions that fall into the list of required positions within the AECOM Oil & Gas Background Check policy, qualified applicants who are offered, and accept, the role must complete a satisfactory pre-employment Background Check. This may consist of all or a combination of the following: Canadian Criminal Record check, an Employment Verification and/or an Education and Accreditation Verification.

  2. For positions that fall into the list of required positions within the AECOM Oil & Gas Alcohol & Drug (A&D) policy, qualified applicants who are offered, and accept, a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company's Alcohol & Drug Policy. In order to be valid, the test must have been conducted at the direction of AECOM - O&G Business Unit.

Minimum Requirements

  • High School, College or University degree in a related field

  • Ability to work under pressure and meet deadlines while maintaining a professional and courteous demeanor

  • Comfortable with ambiguity and able to work in fast-paced work environment

  • Strong data-entry, detail-orientation and analytical skills

  • Team Player with excellent administrative, organizational and time management skills

  • Exceptional customer care and communication skills - both verbal and written

  • Intermediate knowledge in the use of Microsoft Outlook, Word and Excel

Preferred Qualifications

  • 1 to 2 years' experience in an office environment is an asset, preferably who has gained their experience within a fast paced HR function or HR shared services environment

  • Experience developing and implementing complex processes and/or handled high volume paperwork or data-entry is an asset

  • Post-secondary certificate or diploma in Human Resources Management from accredited institution is preferred

  • Advanced knowledge in the use of Microsoft Outlook, Word and Excel, is preferred
