Document Management Manager

The Programme

The Transforming Forensics (TF) Programme is a partnership between the National Police Chiefs Council and KBR. Set up in 2017, the TF vision is to protect the public and enable justice through the most advanced and coordinated forensics. In January, the UK Government announced it will be investing £28.6m in TF to enable it to continue delivering a range of forensics products, services and capabilities that meet the changing needs of policing and the public, including work already underway and a new focus on digital forensics. The funding will help to drive advances in science and innovation, develop more efficient working practices, and offer transformational benefits to police forces and the wider forensics community.

KBR is supporting TF and has helped establish the Forensic Capability Network (FCN). The FCN aims to be the world’s most advanced and coordinated forensic network, and has already had a positive impact, working with forces directly on forensics accreditation, and managing critical engagement with suppliers and other stakeholders at the national level. The programme is building on this, to deliver a step-change in the use of forensics in protecting the public and ensuring justice is served.

Core Responsibilities and Duties

The Document Management Manager will be responsible for supporting the PMO Lead and Programme Manager in:

  • The consistent implementation of document management practices & standards in compliance with the Client policies and strategies.
  • Ensuring all information is secured appropriately and available to the programme team and stakeholders (within the bounds of access policies in use)
  • Ensures full audit trail in place to satisfy internal, and external auditors (i.e. KBR / Information Assurance)

Specific duties will include:

  • Implement and Maintain document Management and Control processes / system.
  • Maintaining programme documentation files & repositories
  • Updates and maintains programme document control record keeping system
  • Prepares transmittals and distributes data as directed
  • Ensuring that there is a common set of templates are available and used by the programme and projects
  • Provide reports on status / progress as part of Programme Governance reporting rhythm
  • Provide guidance, advice and training on document management processes to programme team
  • Supporting the Information Management function to ensure that programme information is managed, controlled and distributed to meet the requirements of the programme.

Skills and Experience

The following skills and experiences are essential :

  • Proven record of document management in a Programme environment
  • Experience in defining Document Management strategy and direction
  • Experience in setting-up and managing document controls, repositories, and tools
  • Strong interpersonal and communication skills both verbal and written
  • Strong client facing skills with the confidence to deal with people at all levels
  • Good IT knowledge, especially of the Microsoft Office Suite, including SharePoint
  • Knowledge of Document Management tools and methods
  • Detail oriented with strong organisation skills
  • Management capability working independently and collaboratively as part of a wider team
  • Ability to work with remote and distributed teams from a variety of backgrounds and differing skillsets
  • Able to take personal responsibility for making things happen and achieving results

Please Note: the role holder will either need to have or be eligible to apply for Police Vetting / Security Clearance (i.e. NPPV2).

The following skills and experiences are preferable :

  • Experience within Policing
  • Knowledge of information management tools and methods
