Responsibilities

  • Leads executive administration support activities for the Head of Contracting Authority (HCA) and Procurement Directorate to ensure the efficient support, tracking, flow, and completion of taskers for the senior executives.
  • Schedules, coordinates, and communicates daily executive tasks for completion.
  • Functions as a critical liaison between the HCA and Procurement Directorate for task coordination with other Senior Executive Administration assistants across the organization.
  • Interfaces with the HCA and Procurement executives and Chief of Staff to ensure higher headquarters taskings are distributed, vetted, reviewed, and properly coordinated to achieve set suspenses.
  • Gathers, organizes, and prioritizes incoming material for review and signature for the appropriate Executive.
  • Compiles, reviews, and edits administrative reports, document packages and correspondences for Executive review, coordination and/or signature.
  • Prepares Executive agendas, ensures meetings run on time and records action items for Executives as requested.
  • Coordinates logistical arrangements for meetings, conferences, and executive travel. Assists with travel process preparation and expense accounting for senior executives.

Skills and Clearance Requirements:

  • A Bachelor’s Degree in a field such as Business Administration, Economics, Information Technology or a related technical, financial, or managerial discipline with three to seven years of relevant executive administrative assistant experience is required.
  • This position requires demonstrated initiative, sound judgment, effective decision-making, the ability to plan and organize work, and excellent oral and written communication skills.
  • Requires a detail-oriented self-starter experienced in supporting senior Government leaders and other technical/business professionals.  Former military or Government Executive Administrative Assistant experience is highly desired.
  • Advanced skills in Microsoft Word, Outlook, Excel, Access, PowerPoint, and SharePoint are required.
  • Superior customer interface at senior levels of management with excellent oral and written communication skills are critical.
  • A current Customs and Border Protection Background Investigation is required.
  • A Secret clearance and a favorable background investigation conducted within the last six years are required or the ability to obtain a Secret clearance are required.
