RESPONSIBILITY:The Commercial Property Manager is responsible for overseeing the day-to-day management activities for an office/retail portfolio located in the Dallas-Fort Worth area. PRIMARY DUTIES:Supervision and development of staff, including Assistant Property Manager, Property Administrator, and Building Engineers, and providing clear and concise staff direction; Supervise direct reports to ensure high standards are maintained in accordance with established Western Securities and building policies and procedures;Interact and effectively communicate with Owner Representatives on financial performance, property operations, building issues and tenant relations;Responsible for building revenue and expenses including preparing and operating within an approved budget and analyzing monthly financial statements including the preparation of the monthly financial reports for the properties and provide ownership with a summary of operations, including leasing activity, variances to the budget, tenant issues, and capital projects;Ensuring tenant billings & year-end CAM and RETX adjustments are correct and conform to the lease in cooperation with the Property Accountant as well as preparation and processing of the reconciliation invoices in a timely and accurate manner;Administer all new leases and amendments and ensure that property and lease files, records, and correspondence are properly maintained and kept up to date in accordance with company policy;Administer leases to ensure all requirements are maintained, including insurance, percentage rent, monthly and annual tenant sales, and annual sales audits;Oversee accounts receivable to ensure they are maintained at an acceptable level including collection efforts in accordance with company and management agreement policies;Ensure efficient operation of the building including compliance with government regulations, achievement of maintenance/security/life safety standards and development of efficiency and cost-effective operating improvements;Complete consistent and regular property inspections to ensure high standard of operation and appearance at all times;Ensure the efficient maintenance and repair of the property;Tendering, selecting and supervising service contracts in accordance with company policies and procedures;Ensure excellent tenant relations by providing excellent management service through knowledge, practice and exceptional customer service. Respond to tenant requests in a timely and courteous manner, and generate work orders directed to vendors or maintenance staff. Follow-up with tenants to insure satisfactory resolution of any issues. Proactively manage the property to minimize tenant complaints;Review, approve, and properly code all invoices for the property;Act as Project Manager to tender and manage capital projects including building improvements and leasehold improvements as well as implementation of tenant improvement on the property;Oversee and administer tenant move ins and move outs, including preparing lease abstracts, reviewing and communicating yield-up provisions and conducting final inspections;Liaise with the leasing team to ensure budgeted leasing projections are achieved, including maximizing efforts to market the property to prospective tenants, as well as preparing vacant spaces to show and enhancing common areas and amenities;Maintain operating procedures for the properties ensuring legislative and regulatory requirements are adhered to and emergency response procedures are regularly updated, and the property operates in accordance with OH&S and environmental policies;Raise the environmental awareness at the property by recommending and implementing effective sustainable strategies to help lessen our impact on the environment and achieve economic benefits;Other duties as required and assigned. QualificationsMinimum 3- 5 years of property management experience in commercial real estate;Bachelor’s degree preferred;CPM and/or RPA designation;Strong knowledge of commercial buildings and building systems;A solid understanding of commercial leases;Strong financial skills, including budgeting and financial reporting expertise;Experience with Yardi software and Microsoft Office programs;Well organized, proactive self-starter, placing a high priority on superior customer and service;Attention to detail;Excellent verbal and written communication skills as well as interpersonal skills;Passion for working in commercial real estate.
