Summary:
The Administrative Assistant - Legal must exhibit an excellent level of competence in the duties associated with general legal assistant type work.  These duties include such things as word processing, planning meetings, making travel arrangements, following up on correspondence with a high degree of independence, processing invoices, preparing PowerPoint presentations, and sorting incoming mail for attorneys in a designated functional area. 

In addition, the Administrative Assistant - Legal must possess well-developed skills in the use of specialized legal databases (e.g., Secretariat), Internet, and other research tools relevant to the functional legal area to which the Administrative Assistant - Legal is assigned.  This includes the ability to conduct searches in and otherwise use databases relevant to the functional legal area and in specialized Internet sites relating to that legal area.  The Administrative Assistant - Legal, with only minimal attorney supervision, must be capable of generating standard contracts, editing various legal templates, and working with specialized legal documents (e.g., powers of attorney), as well as routine correspondence. 

The Administrative Assistant - Legal must have a thorough knowledge of the legal functional area to which this person is assigned, including knowledge of relevant legal issues, practices, and procedures.  This person must be capable of communicating with clients and outside counsel regarding ongoing legal issues and activities, with minimal attorney supervision.  This person will also be back-up support to other areas of the Law Department.

The Administrative Assistant - Legal must have excellent people skills and be able to work effectively in a team environment, including the ability to deal effectively with demanding clients, attorneys, and third parties.  He/she/they must be able to take direction from the several attorneys for whom this person is the primary support staff.  The Administrative Assistant - Legal must have the ability to handle multiple projects, prioritize and manage his/her/their work, and interact cooperatively with members of the Law Department and with clients.  He/she/they must possess excellent written and oral communication skills, and must also operate with the highest level of professionalism and confidentiality at all times due to the nature of the work for which the Department is responsible.

Essential Duties and Responsibilities:
Provide word processing with excellent accuracy, speed and proficient use of the word processing software.        

Draft routine correspondence and documents and generate standard contracts and other specialized legal documents, with only minimal attorney supervision.     

Deal competently with specialized documents and activities relevant to the assigned legal functional area, with minimal attorney supervision, demonstrating a thorough knowledge of the legal functional area, including in-depth knowledge of legal issues, practices, and procedures.    

Communicate directly with clients and outside counsel regarding ongoing legal issues and activities, with minimal attorney supervision.    

Schedule meetings, make travel arrangements, and prepare expense reports.    

Utilize follow-up/docket system for periodic routine matters and prepare follow-up correspondence, with only minimal attorney supervision.    

Process bills, answer and process telephone calls, sort incoming mail for functional area, manage files for functional area    

Provide back-up secretarial or specialist coverage  

Obtain and provide cross-training in specialized areas and specialized training and oversight for facilitators working in the assigned functional legal area   

May act as a resource to other support staff for particular technical skills  

Follow the ethical requirements set forth by the Rules of Professional Conduct of the State of Wisconsin for the management of legal work, including maintaining confidential information


Required Skills / Experience / Competencies:
3+ years of experience working in a support role (preferably in a legal department)


Preferred Skills:
Strong verbal and written communication skills

Prior experience supporting SC Johnson in a clerical capacity

Must have the ability to operate with the highest level of professionalism and confidentiality at all times due to the nature of the work for which the department is responsible
