The Opportunity

Our experienced engineering design team is delivering some of Victoria’s essential infrastructure for the local community.

KBR is looking for an Administrative Specialist to join the team and provide support to our Melbourne office.

Reporting to the Victorian Office Manager, you will be responsible for general administrative duties.

Generally, you will work independently with minimal guidance, but the key success of this role will be to contribute to collaborative culture of the administration team.

Key Responsibilities include;

  • Provide comprehensive and confidential administration support
  • Receive, review and prioritise all correspondence and reports, including matters of a confidential nature
  • Provide assistance as requested with managing calendar appointments, coordinating functions, meetings, preparation of agenda’s and minute taking
  • Co-ordinate travel arrangements, prepare expense claims and process relevant invoices
  • Management of in-box, monitor respond and re-direct emails as requested
  • Format and produce accurate, timely and well-presented documents that conform to the KBR Style Guide
  • Maintain a filing system adhering to KBR document management protocols which enables the timely retrieval of documents
  • Provide a personal and telephone inception service and manage interruptions to support the effective time management of the Manager;
  • Liaise and build professional relationships with staff, management and other key stakeholders
  • Provide backup to cover periods of absences and reception duties when required
  • Routinely meet deadlines by prioritising workload to ensure internal client needs are met
  • Demonstrate commitment to KBR HSE and Quality policies and initiatives.

You will have the following qualifications and experience;

  • Intermediate to advanced proficiency with Microsoft Office Suite
  • 3-5 years of experience in a similar role
  • Demonstrated ability to work to deadlines and prioritise multiple tasks
  • Excellent written, verbal and interpersonal communication skills
  • Comprehensive grammar and editing skills
  • Demonstrated knowledge of business policies, processes and procedures
  • Experience with SAP would be advantageous
  • Previous experience working within engineering and/or construction is highly desirable
