Administrative Support Officer

The Role

  • Provide administrative support to the Management Team in the production of agendas, meeting minutes, contract performance and status reports, and personnel management issues.
  • Organise meetings, appointments and travel on behalf of the Management Team
  • Administer travel, leave, material requests, and uniform request requirements and maintain related registers
  • Monitor and action KBR finance, pay and related documents underpinning obligations to support the operations of the TTSS Contract requirements.
  • Manage and review stationery and other office budgets
  • Monitor and review administrative procedural manuals and related SWIs in consultation with the Quality Manager.
  • Assist with the development, maintenance and yearly review of Contract Documents including Risk Management Plan, Quality Plan, Support Services Management Plan and Training Support Plan.

Required Qualifications, Experience and Knowledge

  • Certificate IV in Business Administration (minimum)
  • High level Microsoft Office Word and Excel skills performed in a similar role
  • Experience in office management and coordination of employees
  • Experience with recording accurate meeting minutes
  • Motivated, self-starter who is able to work effectively with limited supervision.
  • Excellent communication, documentation and record keeping skills
  • Excellent organisational skills and good verbal and written communications skills are essential.
  • Ability to interact and liaise with Commonwealth representatives at all levels and those from other organisations

Fraud Alert

Fraud has infiltrated the job placement market via the internet, email and direct phone contact. Attempts have included unauthorized use of KBR’s name and logo to solicit potential job seekers or to extend false job offers. Bad actors may mix in fake job advertisements with legitimate postings. These ads can include contact instructions and require job seekers to send sensitive personal information or money to pay for visa applications, processing fees, etc., in exchange for consideration for a high-paying position.
