Job Summary

AECOM Leeding Builders Group is seeking an Administration Specialist to be based in New York, New York.

The job responsibilities may include but are not limited to:

  • Under general supervision, plans, coordinates, supervises and administers support services for a medium-size unit, group, and/or project team.

  • Maintains organizational structure for project documents, including updates to documents as requested, which may include hard copies, electronic files, and documents hosted on a cloud-based project management system.

  • Compiles reports based on the current information, logs, and narratives provided by others.

  • Coordinates efforts to obtain permits and associated renewals.

  • Develops, implements, and coordinates company policies and programs consistent with group philosophy and objectives.

  • Schedules meetings, including confirming availability of internal and external meeting participants.

  • Prepares contracts based on project specific templates and direction and documentation provided by others.

  • Coordinates with third party administrator to ensure and verify subcontractor insurance compliance.

  • Under general supervision, provides assistance to office administrative staff with insurance claim administration, permit and violation handling, and accounts payable and invoice review activities.

  • May perform other functions as necessary.

Minimum Requirements

  • BA/BS + 2 years of office administration support experience or demonstrated equivalency of experience and/or education.

  • Demonstrated proficiency in Microsoft Office, Outlook, Word and Excel

Preferred Qualifications

  • Previous experience supporting a construction operation, program, or project.
