Job Summary

AECOM’s Canberra team is growing, and we have an exciting opportunity for an Office Manager to take over the day to day management of the office, including administration, facilities coordination, and offering support for staff and clients.

In this challenging yet rewarding role, you will provide support to the ACT Area Manager and Team Leads to ensure our physical and virtual office is functioning seamlessly. This is a highly visible, people-facing role where you will be responsible for the proactive management of all office operations whilst promoting a harmonious working culture. You will proactively identify areas to continually improve office processes from both a user experience and an efficiency perspective.

The focus of this position is to ‘care for and support our people’ and to problem solve as obstacles arise. Your excellent communication and interpersonal skills, flexibility and pro-active attitude will be key to your success in fully supporting the Canberra office and the wider AECOM business.

Some of your main responsibilities will include but are not limited to:

  • Responding to client and staff queries and offering ongoing support

  • Communicating key office priorities and managing our virtual noticeboard

  • Proactive IT testing and helping to resolve IT issues including assisting with IT project management

  • Problem solving and remediating issues as they arise

  • Ownership of the office amenity to ensure a professional and welcoming office environment

  • Management of office facilities and interfacing with building management, including managing relationships with maintenance suppliers

  • Leading office support activities and proactively managing the design and implementation of office processes and procedures

  • Delivering continual improvement of office operations and leading change

  • Procurement of office supplies

  • Manage facilities and security of the local office environment

  • Organising employee rewards through our internal recognition program

  • Onboarding new staff and providing exceptional first experiences at AECOM

  • Providing EA support to the Area Manager as required (i.e. travel, expense coding and calendar bookings)

  • Prepare weekly newsletter and monthly Team Brief material

  • Leadership financial, project reporting and quality assurance as required

  • Back up reception duties

  • Team Lead responsibilities for the Office Administrator

  • Assisting with other ad hoc administration tasks and staff requests as needed.

Minimum Requirements

This is a varied and busy role which would suit someone who is pro-active and enjoys working within a collaborative environment.

You will have strong administration experience, ideally in a professional services or engineering consulting environment. Above all, you will have a friendly and outgoing personality and be someone that enjoys supporting others.

  • Advanced knowledge of all Microsoft Office packages, in particular Excel, PowerPoint and Word

  • Advanced understanding of office IT systems and experience in interfacing with IT support personnel

  • Experience in managing office finance and interfacing with suppliers and stakeholders

  • Ability to drive outcomes, prioritise tasks and the agility and flexibility to adapt to change

  • A confident communicator and willingness to take the lead, build relationships and communicate with all levels of the business

  • Ability to innovate, problem solve and contribute to activities to improve the efficient operation of the office

  • A strong sense of commitment, a willingness to learn in a dynamic, deadline driven team environment

  • Experience in developing and/or implementing new procedures and the ability to drive adherence and ensure best practice

  • Basic knowledge of WHS responsibilities and requirements – or willingness to learn

Preferred Qualifications

  • Relevant qualification is preferred.
