Currently, ManTech is seeking a motivated, career and customer-oriented Administrative Assistant (Health Analysis and Epi Data Center) to join our team in Portsmouth, VA.

The Navy and Marine Corps Public Health Center (NMCPHC) is the Navy and Marine Corps center for public health (PH) services to maximize readiness through force health protection (FHP) strategies and solutions for current and potential PH threats. NMCPHC provides leadership and expertise to ensure mission readiness in support of the National Military Strategy.

NMCPHC’s core scientific and technical capabilities and product lines are to conduct Health Surveillance, Epidemiology, and Analysis; Disease and Injury Prevention; and PH Consultation and Support for the benefit of active duty service members, retirees, and their families. This is carried out at the NMCPHC and its supported Medical/Military Treatment Facilities (MTFs), shore-based installations, and its Operational Medical Assets and field activities.

Administrative Assistant

Responsibilities include, but are not limited to:

Core Tasking:

  • Critically review, independently edit, and appropriately format taskers and official correspondence in accordance with the Navy Correspondence Manual, Official Navy Message Traffic, and other policies.
  • Synthesize various types of input (verbal, notes, emails, drafts) into a cohesive documents, briefs, or correspondence in accordance with style guides and other applicable policies.
  • Maintain, update, and communicate directorate and departmental documents (i.e. announcements, distribution lists, internal and external media lists, data access forms, and departmental budgets)
  • Manage departmental rosters, contact information, inventory lists, and daily mustering.
  • Coordinate with department head and directorate staff to submit and monitor supply orders.

Department-specific Tasking:

  • Maintain content, accuracy and visual organization of files or informational databases.
  • Manage “New Hire” guide, onboarding new staff, and transitioning staff as they depart.
  • Maintain and update departmental slides for DH meetings and other similar requirements.
  • Archive departmental “Snapshot” entries.
  • Set up new HIPAA logs and review existing HIPAA logs. Report any concerns to Supervisory Epidemiologist.
  • Maintain departmental Product Catalog (posting new project, removing old, troubleshooting access issues).
  • Track and verify timely completion of command training requirements.
  • Manage email groups for the department and maintain staff rosters.
  • Update departmental records management files and logs.
  • Serve as departmental space management POC.
  • Support departmental staff with computer/IT-related issues/requirements.
  • Support Department Head with collateral duty administrative tasks.
  • Provide department project management support

Basic Qualifications:

  • Five or more years of experience working in a military environment:
    • Experience with designing, facilitating, and conducting tasker responses.
    • Experience working with military documents including correspondence, point papers, policies, and messages.
    • Experience with the Navy Correspondence Manual, Official Navy Message Traffic, and other policies
    • Experience adhering to military policy, guidance, and standard operating procedures.
  • Strong verbal and written communication.
  • Proficient with Microsoft Office suite (Word, Excel, PowerPoint), MS SharePoint, and Adobe Acrobat Pro.
  • Skills and experience to independently monitor activities such as supply orders (i.e. DD1149 Form), equipment, cost accounting data, and personnel training (Relias training system).
  • Ability to critically review, independently edit, format, and synthesize various types of input (verbal, notes, emails, drafts) into a cohesive document or correspondence.
  • Experience with gathering and analyzing quantitative and qualitative data and developing administrative reports and recommendations.

Preferred Qualifications:

  • Four or more years of active-duty Navy experience.
  • Associates degree or higher.
  • Advanced skills using software tools, including Microsoft Office suite, MS SharePoint, and Adobe Pro to support program management efforts.
  • Experience with military supply ordering (i.e. Defense Medical Logistics Standard Support (DMLSS)).
  • Experience with setting up and hosting video and teleconferences and virtual meetings using collaboration systems such as Microsoft Teams and Cisco WebEx.

Security Clearance Requirements:

  • U.S. Citizenship required.
  • Must be able to obtain and maintain a U.S. Secret clearance.
  • A current and active Secret clearance is strongly preferred.

Physical Requirements:

  • Must be able to remain in stationary position for up to 50% of the time.
  • Must be able to deliver clear and effective communication both verbally and non-verbally to deliver updates; briefings; or interface with co-workers; leadership as well as customer.
  • Must be able to work in an office environment and be able to freely move within this space to utilize office equipment as well as interface with co-workers and customer.
  • Must be able to effectively use IT peripherals such as laptop, desktop, printer, fax machine, etc.
  • Must be able to deliver presentations as needed.
  • Must be able to review; decipher and understand program manuals; IT service requests; work orders; etc.
