HL Law Group, a merit-driven, client-centric insurance litigation firm, seeks a Disbursement Coordinator ("DC") to partner with the firm's Director and Finance Manager to provide oversight on the timely management of all aspects of the disbursement process. This will include, but not be limited to, serving as the client's first point of contact after settlement or litigation has concluded, developing realistic client expectations, keeping the client informed of the timeline and intervening developments. The DC will coordinate supervising, monitoring and taking charge of releases, disbursements, all checks and check-related issues and Motions to Enforce, as needed. The DC will be a flexible professional, able to adjust and pitch in wherever his/her skills are needed to move the disbursement process (or other matters within the accounting/finance department) forward.
Scope of the Position
This Firm seeks a motivated, best-in-class organizer and project supervisor. Ideally, the DC would have prior knowledge of the disbursement or other accounting processes. Without being a subject matter expert, the DC must know how to trouble-shoot efficiently in a post-settlement context. The DC must also come with highly developed people-skills and the ability to explain the legal process, communicate technical information accurately and build rapport with clients, team-members and others involved in the process. The DC must ensure that the process delivers efficient results and that all participants are aware of their part in expediting the post-settlement process.
The DC will report to the Firm Director and will have close working relationships with the Finance Manager and other members of the accounting/finance/administrative team.
Key Responsibilities
With limited supervision, the Disbursement Coordinator will support the Finance Department and the organization by processing, recording and reporting cash disbursements in accordance with settlement terms and governing laws and regulations. The DC will ensure that all departmental and corporate policies and procedures are followed and must meet compliance and audit guidelines. The DC will support all new project implementations and system upgrades and must be willing and flexible about taking on any and everything that touches the post-settlement cases.
The DC will:
� Coordinate the disbursement team, across functional lines, to ensure that post-settlement processes occur with maximum efficiency and minimum delay.
� Serve as a conduit for client information and concerns; keep the channels of communication with clients open at all times.
� Build strong working relationships with all internal teams.
� Monitor, track and account for all outgoing settlement checks.
� Cause all check and electronic payments to be run, with the approval of the Firm Director/Finance Manager.
� Generate disbursement reports and submit to Firm Director and others.
� Expedite the disbursement process, wherever possible within the parameters of the law.
� Keep clients regularly updated as to the status of their checks.
� Explain the process to clients, as needed.
� Respond to all external and internal inquiries with 24 hours, to observe the Firm's "Immediate Response Rule."
� Work with the attorneys and case managers to respond to clients within a 24-Hour window.
� Draft status emails that reassure clients, customers and vendors of the Firm's goodwill and professionalism; use problem-solving to build loyalty to the Firm.
� Manage client expectations and set up realistic deadlines and dates.
� Ensure the accurate and timely processing of unusual or challenging transactions.
� Track such challenging disbursements.
� Communicate regularly with clients waiting for the outcome of challenging transactions; take pre-emptive action to inform, communicate and educate clients about the process.
� Research returned checks and re-mail.
� Advise the Management Team immediately of any situations or circumstances that require immediate attention.
� Assist the Firm's recruiting, training and onboarding efforts by sharing an outline of the disbursement process as part of the initial training program.
� Perform other duties as assigned or requested.

Skills & Qualifications
� Must be 18 years of age or older
� Bachelor's or Associate degree in a business related field preferred
� Enthusiasm about HLLG and the ability to communicate this to the public at large
� Polished telephone demeanor; professionalism and courtesy
� Excellent communication, presentation, writing, editing and speaking skills
� Proficiency in English; second languages a plus
� Process orientation; ability to engineer and to engage in rigorous process improvement
� Negotiation skills; patience at dealing with complaints or flawed processes
� Persistence and focus on results
� Ability to handle a range of personalities effectively
� Good judgment, strong people skills Appropriate sense of humor

COVID Policies

The Firm may require new hires to tender proof of vaccination or, in the alternative to certify the basis for non-vaccination � without reference to medical history or other protected health data. The uncertified unvaccinated will be required to produce negative COVID test results each week to continue working at the Firm.

While on the premises, we ask that all HLLG staff members wear masks, wash hands frequently, observe social distancing and use the kitchen and rest facilities to preserve safety. We recommend that anyone who experiences 'flu-like symptoms, respiratory distress or digestive malfunctions of any kind, should remain home until a negative COVID test result has been procured. HLLG requires those who test positively for COVID to remain home until they receive a clean bill of health. Before returning to the offices, we will require a writing from a medical practitioner indicating that COVID is not in evidence.
