Responsible for managing the intellectual property docketing systems, including patent and trademark docketing modules as well as general matters. Responsible for oversight of patent incentive program, including interactions with inventors and payroll. Responsibility for oversight of outside vendor billing and payment, including reporting and interaction with vendors or accounting.
Reviews trademark, patent and IP related communications for handling of all aspects of daily docketing in CPI or Passport, including calendaring IP dates, de-docketing dates, creating new trademark, patent and other IP matters, preparing docket reports for attorneys, paralegals and business and sending reminders to IP staff as assigned.
Functions as the docket system expert for the group, including addressing issues with the vendor, troubleshooting user issues and recommending process or technology improvements.Coordinates the intake of new trademark or patent portfolios and implementation of new filing programs.
Coordinates aspects of the patent incentive program including execution of inventor agreements, reporting of eligibility to attorneys and business, drafting and communication of instructions to payroll at the direction of attorneys and oversight of physical award production and presentation.
Coordinates payments to outside vendors and counsel internationally, including intake and processing of all invoices or charges, reporting to attorneys, tracking of budgets as assigned, communicating invoices to attorneys and business for payment, interactions with accounting and tracking all invoices throughout the process.
Maintains and updates foreign and U.S. patent and trademark files and case materials both physically and in electronic records where applicable in a database or case management system.
Prepares and transmits standardized correspondence relating to trademark and patent prosecution to attorneys and business partners including reporting, letters, invoices and status reports.
Maintains database of standardized form letters.
High School/ GED and at least 2 years (BA is PQ only) Experience with intellectual property docketing systems
Experience in the production of docketing reports in the system of record or Excel.
Knowledge of CPI docketing system and experience with docketing of patent, trademark and general matters.Knowledge of U.S. and foreign patent and trademark laws and prosecution
Experience in physical and electronic records maintenance.
Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
Experience building and maintaining relationships within a team.
Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
Willing to travel up to/at least 5% of the time for business purposes (within state and out of state).
