Job Summary

Responsible for providing moderately complex coordination of programs, information and data of moderate difficulty. Requires judgment in resolving issues or in making recommendations with an understanding of the implications of the work. Provides professional, accurate, and timely support, contributing to team and department goals; impact is short-term and departmental or team based in scope. Normally receives limited instructions on daily work and general instructions on newly introduced assignments. May review and ensure regulatory compliance. Works under general supervision and has understanding of the job and applies knowledge and skills to a wide range of tasks.

Job Responsibilities
  • Creates periodic reports and ad hoc reports as required by the business. May maintain data bases and information in systems used by the business. May gather documentation, statements and reports regarding specific issues.
  • Verifies information to ensure efficiency and timeliness. Identifies opportunities to improve efficiency and to reduce costs.
  • Provides advanced coordination to moderately complex programs and may also ensure regulatory compliance.
  • Identifies moderately complex problems, issues and concerns and develops and communicates potential solutions to leadership for approval and implementation. Provides professional, accurate, and timely support, contributing to team and departmental goals.
  • Builds productive internal/external working relationships to work collaboratively. Shares knowledge with the team. Communicates with internal and external stakeholders a s needed.
  • May perform scheduling and routing duties as required. Makes necessary travel arrangements, including ground transportation and hotel accommodations. Prepares travel itineraries for the executive and direct reports. Makes arrangements and coordinates all details for meetings, conferences and special events.
  • Uses applications such as Microsoft office to complete work assignments.
  • Normally receives little instruction on daily work, general instructions on newly introduced assignments.
  • Reviews, monitors, tracks and evaluates information and reports to assure accuracy and compliance.
  • Processes expense reports
  • Structures, organizes and expedites the activities and workflow of the executive’s office. Prioritizes schedules, develops and initiates system of follow-up for projects, meetings and issues to assure the efficient and effective management of the executive’s office.
  • May manage various administrative projects. Participates in gathering research and generates reports as needed. Notifies project participants on timelines and completion dates.

Basic Qualifications
  • High School/ GED + at least 2 years (BA is PQ only)Experience in a sourcing, supply chain or business role
  • At least 2 years of experience coordinating and scheduling multiple events simultaneously.
  • At least 2 years of experience managing calendar for 1 or more individuals (for example: setting up meetings and determining the priority of meeting requests and events).
  • Basic email and internet explorer skills and time management skills.
  • Experience with MS Office Suite
