Position Overview: The Administrative Support Assistant is a vital member of our administrative team, responsible for providing comprehensive support to ensure the smooth and efficient functioning of our office. This role primarily involves assisting and filling in for the primary administrative assistant as needed, supporting various administrative tasks, and maintaining a high level of professionalism and confidentiality. The Administrative Support Assistant plays a crucial role in maintaining effective office operations and facilitating effective communication within the organization.
Key Responsibilities:
Provide administrative support: Assist the primary administrative assistant in managing daily administrative tasks, including handling correspondence, managing calendars, scheduling appointments, and coordinating meetings and conferences.
Fill in for the primary administrative assistant: Assume the responsibilities of the primary administrative assistant during their absence, ensuring seamless continuity of administrative support and maintaining efficiency.
Coordinate office operations: Greet visitors, answer and redirect phone calls, and respond to inquiries promptly and professionally.
Document and file management: Maintain organized and up-to-date physical and electronic filing systems, ensuring documents are properly labeled, stored, and easily accessible.
Data entry and record keeping: Accurately enter and update information into various databases and systems, ensuring data integrity and confidentiality.
Correspondence and communication: Draft and proofread various business correspondence, including emails, memos, and reports, with a keen eye for detail and professionalism.
Supply and inventory management: Monitor office supplies, order replenishments when necessary, and maintain inventory records to ensure adequate stock levels.
Collaborate with internal teams: Assist other departments and team members by providing administrative support, facilitating communication, and coordinating interdepartmental activities.
Support event coordination: Assist in planning and organizing company events, meetings, and conferences, including logistics, venue coordination, catering arrangements, and material preparation.
Adhere to confidentiality: Handle sensitive information with the utmost discretion and maintain strict confidentiality in all matters related to the organization, employees, and clients.
Qualifications and Skills:
High school diploma or equivalent; additional administrative certifications or education is a plus.
Proven experience in an administrative support role is preferred, but not required.
Proficient computer skills, including MS Office (Word, Excel, PowerPoint, Outlook) and experience with office equipment (e.g., printers, copiers, scanners).
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent written and verbal communication skills, with exceptional attention to detail.
Demonstrated ability to work independently and collaboratively within a team environment.
