Position SummaryThe Assistant Property Manager supports the property management teams with building condition inspections, vendor over site, and administration of policies and procedures to efficiently manage the operations of the buildings. The Assistant Property Manager has duties and responsibilities in the areas of property management and administration, along with vendor contracts and tenant relations. This position works closely with internal and external partners in Leasing, Accounting, and Tenant Services to clarify vendor requirements and support tenant special events. Primary responsibilities include, maintaining the property and common areas to Bedrock standards. ResponsibilitiesGeneral AdministrationAssist with developing and documenting property management proceduresMaintain accurate Tenant, Vendor and Building recordsMaintain and update the shared database for vendors and tenantsCommunicate effectively with staff members, tenants, vendors, contractors, government offices, property management and senior management staffProperty AdministrationManage all building work activity - oversee access and enforce all scheduling with construction, outside vendors & on-site team to ensure normal operations during building hoursAssist in the day-to-day operational management of buildings and groundsPhysically inspect and document inspections of buildings within the portfolio daily and report any maintenance and repairs needed to property management teamsCoordinate service agreements and select contractors and suppliersResearch and prepare RFPs, and bid comparisonsReview and respond to all property inspectionsAssist in overseeing all maintenance team membersLeasing and Lease AdministrationAssist with administration of tenant leases in compliance with lease provisionsFollow up and report on rent delinquencies for specific tenants as requiredTenant RelationsProvide and develop excellent working relationships with all tenantsEnsure that tenant inquires and complaints are timely and satisfactorily addressed and then followed upWork closely with internal partners in Tenant Experience to support special events for tenantsQualificationsMinimum of 1 - 3 years' experience in Commercial Property Management is requiredReal Estate Salesperson License is required or must be obtained within 90 days of employment, Bedrock will assist with required courses and testing fees.Some working knowledge of building systems, equipment, and designExcellent written and verbal communication skills and relationship building skillsAbility to work independently and handle multiple projects and tasksStrong attention to detail and accuracyCustomer service focused and able to respond appropriately to all tenant inquiriesMust have a proactive attitude for taking on new projects, produce innovative ideas, and designing better processesExcellent follow-through in managing tenant issues and administering supervisory responsibilitiesDemonstrate an ability to support and contribute to the teamProficient in Microsoft - Excel, Outlook, and Word software packagesFamiliarity with Yardi or similar property management softwareModest & SecureIndependently DrivenIntelligently CollaborativeNever SatisfiedRelentless Commitment to ServiceThe above statements are intended to describe the general nature and level of work being performed by people assigned to this job.
